Summary of Role
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The successful candidate will play a crucial role in ensuring smooth operations across various departments. From order processing to health and safety compliance, this position requires versatility, excellent communication skills, and the ability to handle multiple tasks efficiently.
Responsibilities and Key Deliverables
Order Processing:
- Place and handle purchase orders.
- Assist different departments with purchase order queries
Supplier and Subcontractor Liaison:
- Send enquiries to suppliers and subcontractors.
- Coordinate delivery dates and times with suppliers.
- Negotiate prices.
- Establish supplier credit accounts.
- Accurately set up supply chain accounts in project costing software.
Vehicle and Equipment Maintenance:
- Schedule vehicle maintenance tasks (MOT, service, general maintenance).
- Arrange hire vehicles and ensure they are registered with the insurance company.
- Organise PAT testing and equipment maintenance.
- Maintain and update equipment and vehicle registers.
Health and Safety:
- Assemble site Health and Safety Files.
- Assemble site boards.
- Compile information for Operation and Maintenance (O&M) Manuals.
Defect and Reactive Maintenance:
- Handle client defects and maintenance issues.
- Log defects and maintenance jobs on the internal maintenance system.
- Update client portals.
- Coordinate and follow up on defects with the supply chain.
General Administrative Tasks:
- Perform scanning, photocopying, and electronic filing.
- Answer and direct phone calls.
- Send relevant emails.
- Provide support to senior staff members.
- Organise and schedule meetings and events.
- Arrange training courses.
- Book hotels for staff.

Skills, Experience and Requirements
- Experience within the construction industry is desired.
- Proven experience in administrative roles.
- Strong organisational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Familiarity with project costing software is a plus.
- Knowledge of health and safety regulations.
- Ability to multitask and prioritise effectively.
