Our client, a government organisation is currently recruiting for an Administrative Assistant, pay £15.57ph, start ASAP, duration for 6 months with the possibility of an extension, hours Mon-Fri 36 hours per. The location of the office is Westminster, and this role is required to work fully on site. You will be required to go through a stringent security clearance before starting which can take 4-6 weeks ahead of starting.
The Kitchen Administrative Assistant is responsible for coordinating secretarial and clerical support services to the Executive Chef for the effective and efficient running of the Catering Back of House areas - Kitchens, Stewarding and Linen Room areas.
Responsibilities;
· Organise various programme board and team meetings.
· Ensure calendar availability of senior stakeholders and take accurate and concise minutes.
· Provide diary management, drafting and proofing all correspondence for Executive Chef and senior kitchen management.
· Provide follow up on all projects with stakeholders on behalf of Executive Chef.
· Monitor all maintenance requirements for Back of House.
· Act as first point of contact for enquiries such as sickness, holiday, conduct, management of attendance. Process all paperwork related to this.
· Track employee absence and create absence % monthly.
· Responsible for all incoming and outgoing post.
· When appropriate update kitchen documentation e.g., staffing allocation, induction booklet and buddy pack.
· Maintains employee filing system and electronic filing system ensuring files are relevant, up to date and in good order.
