Temporary Administrative Assistant – Communities- Lisburn
KEY PURPOSE OF THE JOB:
As a member of the Community Development & Resources Team the post holder will be required to:
·Provide and develop a high quality administrative service across the Community Support and Facilities & Resources teams.
·Ensure the efficient and effective day to day operations of the administrative office and support the work of staff across the team.
·Contribute to the development of processes and systems to ensure continuous service improvement.
KEY DUTIES AND RESPONSIBILITIES:
1.Provide a comprehensive administrative service to support staff of the relevant service areas (see below) and provide interchangeability at administrator level, in all designated areas.
2.Provide a high quality customer service to support user groups, community / voluntary groups and other beneficiaries to access the various elements of the service in line with Council policies and processes.
3.Process and review information, grant claims, payments and applications in line with Council procedures using both computerised and manual systems.
4.Responsible for maintaining documents and records management system for the service.
5.Responsible for the efficient operation of computerised booking systems to include cash handling, receipting, generating weekly income reports and end of month invoicing and organising cash collections. .
6.Responsible for ensuring Information Systems e.g. grant administration, purchase order records, website and government funding database are operating to maximum efficiency and effectiveness and ensuring integrity and accuracy of the data held on systems.
7.Administration of invoices to include raising purchase orders, coding and payment in accordance with agreed timescales and procedures.
It is essential that applicants have a minimum of:
QUALIFICATIONS
1.1– Five GCSE passes at grade A-C, NVQ level 2 or equivalent.
EXPERIENCE
1.2– Two years’ relevant experience in both of the following areas of responsibility;
-Administration
-Operating and maintaining a computerised Information System
Where applicants do not hold the qualifications as outlined in 1.1, they must demonstrate a minimum of five years’ experience as outlined in 1.2.
KNOWLEDGE:
·A working knowledge of computerised booking and financial systems.
DESIRABLE:
EXPERIENCE AND KNOWLEDGE:
·Experience and knowledge of using Total Financial System.
·Experience and knowledge of using Computerised Legend Booking System.
·Experience of working with Voluntary and Community groups and the general public.
Other Information
Location: Lisburn – Bridge Community Centre Lisburn
Hours: 37 per week 9.00-5.00pm
Hourly Rate of pay: £13.02 per hour plus accrued holiday pay
Start Date: 28 April to 31 July 2024
