Administrator – Portbury
Position Overview:
Reporting to the Administration Supervisor, the Administrator will play a crucial role in providing administrative support to the depot and its drivers. The successful candidate will handle a variety of tasks, ranging from general office duties to driver compliance and customer service. This is an exciting opportunity for an organized and detail-oriented individual to contribute to the smooth operation of our depot.
Responsibilities:
* Provide general administrative support to the depot and its drivers.
* Assist with issuing PPE, truck equipment, consumables, and office supplies, ensuring stock levels are maintained.
* Ensure driver tachograph compliance, including driver card/vehicle downloads and investigating and completing manual entries for non-driving days.
* Organize incoming and outgoing post, including arranging courier services.
* Maintain driver holiday and absence records, liaising with Payroll regarding timesheet submission and absence.
* Take minutes of meetings, including investigations and disciplinary hearings.
* Record details of personal injury accidents and collate associated paperwork, including road traffic accidents where applicable.
* Raise purchase orders and check supplier invoices, liaising with the Accounts department.
* Answer customer service phone calls, providing ETA's from load planners.
* Perform any other general administration duties as required.
Person Specification:
The ideal candidate will possess the following qualifications and skills:
* A minimum of 5 GCSEs (or equivalent/relevant qualification) grade A to C, including English and Maths.
* Proficient user of Microsoft Office, particularly Excel.
* The ability to plan and prioritize workload, ensuring weekly deadlines are met along with ad-hoc tasks.
* Excellent communication skills and experience liaising with internal departments.
* Confident telephone manner and experience dealing with external suppliers and customers.
Hours of Work:
Monday to Friday, 08:00 - 17:00 with 1-hour unpaid lunch.
Salary:
£11.60 per hour
