Job description

We now have an exciting opportunity for an Administrator to join our Sidcup based Hard FM (maintenance and repairs) team. This position is offered on a fixed contract for 3 months initially and would be based on site at our office in Queen Mary's Hospital in Sidcup, Kent.

Our maintenance business provides a range of expert planned and responsive maintenance services to domestic properties and commercial buildings in the social housing, health and social care sectors. We look after a growing number of healthcare buildings for NHS Trusts, residential homes and educational facilities. Using the latest technology we ensure properties are well maintained, efficient and fit for purpose.

Job Purpose

Based from our office at Queen Mary's Hospital in Sidcup you will work as part of a team providing administration support on this hard FM (repairs and maintenance) contact with an NHS Trust. You will do this by acting as the main link between our operational team (maintenance operatives and engineers) and our contact centre team. You will also interface on a front line level with our end Clients within the NHS.

As Administrator your key responsibilities would include:

  • Monitoring the helpdesk answering telephone calls and emails in a professional and timely manner
  • Plan and arrange call outs, maintenance visits, delivery of materials, and extra works within contracted SLA s.
  • Ensure that reactive and planned (PPM) jobs are attended and rectified within the correct service level agreement time to ensure we hit our KPI targets.
  • Compiling various reports on subcontractor spends, engineer work loads, mileage sheets, invoicing and PPM and reactive jobs received during the month.
  • Filing of all statutory compliance report sheets as well as any reactive onto Hive.
  • Obtaining quotations where required.

This Administrator position is offered on a full time temporary basis for 3 months and the core working hours are 40 per week, Monday to Friday 8am to 5pm.

Experience Required

The ideal candidate will demonstrate previous experience of working within a contact centre and/or administration role for a responsive repairs/maintenance company. It would be an advantage for this experience to have been gained within a company providing repairs to the NHS, however candidates with housing and/or education repairs experience will also be considered. You will have excellent customer service skills (including good telephone and written communication skills), a can-do attitude and have excellent knowledge of Microsoft packages such as Word, Excel and Powerpoint.
