My client, a global professional services company is seeking an Assistant HR Advisor to join their HR Team in their Head Office in Southampton on a hybrid basis; 2 days a week working from home.
This role provides key support as first point of contact for a range of day-to-day HR queries from internal and external customers, providing advice and guidance on HR processes and procedures.
Responsibilities:
Human Resources:
o Lead and assist HR team in responding to general employee enquiries, employee onboarding, change of status, and leave processes.
o Work closely with payroll in Finance ensuring that all changes are added to the payroll Hotsheet with documentation that provides an audit trail.
o Support HR Advisor in Employee Relations and various HR projects.
o Updating and maintaining HR profiles on PeopleHR.
o Ongoing file management ensuring that all documentation is stored correctly on PeopleHR.
o Chasing for new starter documentation, such as qualifications, medical questionnaires, proof of right to work in the UK, proof of address and proof of ID.
o Logging IT equipment and other company property provided to employee’s on PeopleHR.
o Logging visa expiry dates on PeopleHR and chasing for renewal paperwork in a timely manner.
o Updating confidential information using the internal HR system, respecting the need for confidentiality and Data Protection.
Leaning and Development:
o Assist in the upkeep of the competency matrix, keeping this updated as job descriptions change, and new ones are added.
o Update training records accordingly on PeopleHR for new and existing staff, with the view of all staff having an up to date and complete training record.
o Assist in gathering feedback and data from any learning carried out across the business and then support the L&D Specialist in future training planning, based on these metrics.
o Assist in the creation of eLearning to aid learning in different departments across the group.
o Help Systems and Training Manager with uploading new courses and creating “Categories or Pathways” to assign to new and existing employees to upskill or reskill.
o Support in encouraging eLearning to be completed and play an active part in promoting eLearning to support career goals etc.
Essential skills, qualifications and experience:
o Qualified CIPD level 3.
o Good attention to detail.
o Excellent communication skills.
o Previous experience in administration or data entry.
o Be a fast learner and be able to hit the ground running.
o Strong computer skills, including Microsoft Office (Word, Excel, Outlook), internet, HRIS, and Applicant Tracking Systems.
o Self-starter with excellent time management, multi-tasking and organizational skills.
