As the new Assistant to our Deputy Group Managing Director, you will work in a fast-paced environment and will be responsible for planning and organising work to ensure that the Group Deputy Managing Directors priorities are met, organisational goals are achieved, and best practices are upheld. You will carry out duties delegated and legal tasks for the DeputyManaging Director / Exec of the group / businesses and to provide additional ancillary support to the group businesses as required / directed.
Role responsibilities:
- To include arranging meetings, calls, presentations, conferences, dealing with agendas, meeting packs, due diligence, preparation of documents (legal and administrative) attending meetings to take minutes and liaising with other parties / external clients / providers.
- Managing information flow in a timely and accurate manner
- Organising and managing office systems
- Collating documentation for meetings and circulating agendas in advance
- Assisting at client events / meetings, on an ad hoc basis
- Booking attendance at meetings/conferences/seminars (including travel) and organising trip itineraries
- Working extensively with Shared Services, Management Teams, Business Development, Compliance as required on specific tasks/projects
- Assisting with project management by providing administrative assistance as directed
- Assist with CDD/KYC to include processing conflict checks and due diligence with branches
- Complex reporting – e.g., running marketing and financial reports and client reports across the team as required
- Handling telephone enquiries in a professional and polite manner, taking accurate messages and following up on agreed action
- Drafting correspondence
- Some travel may be required to attend meetings/site offices
THIS ROLE CARRIES WITH IT A GREAT RESPONSIBILITY TO KEEP ALL MATTERS DEALT WITH WITHIN THE EXECUTIVE TEAM HIGHLY CONFIDENTIAL
What do we need from you?
- Two or more years’ experience in an administrative role reporting directly to senior management
- Legal experience (desirable)
- Administration/organisational skills with the capacity to pay close attention to detail and ensure all matters are scheduled and deal with within the scheduled period
- Verbal communication skills including the ability to communicate with a wide range of people in person and over the telephone
- A good working knowledge of the legal sector
- Competent use of Microsoft 365 including Microsoft Teams
- Ability to multitask, to organise and prioritise a busy workload and work to tight deadlines
- Ability to manage a large workload and prioritise
- The ability to work under pressure and to deadlines
- Understanding of project management
- A proactive problem solver
- Thorough attention to detail
- Professional and friendly demeanour
- Self-motivated but able to work as a team
- Strong knowledge of all clerical activities
- Excellent customer care and telephone manner
- Ability to communicate at all levels
- Flexible and consistent while maintaining the confidentiality of high-level systems and operations
