We are currently working with a construction company who specialise in various fire protection services. They are currently on the look out for a Contracts Administrator to join their growing team.
About the position:
The position of Contracts Administrator holds responsibility for providing both clerical and administrative support to the management team. The role plays a vital part in the administration and smooth-running of the company. The Administrator can be privy to highly confidential information to the Company and maintaining confidentiality is a vital role of the Administrator.
Position Overview - Contracts Administrator
Duties will include but are not limited to the following:
- Maintain the daily one trace tracker of operatives completed paperwork.
- To maintain all contract files, keeping them up to date with all information relating to the relevant contracts ensuring signed safe systems of work, handover certificates and marked up drawings are obtained from the operatives. This includes all inputting onto the company CRM system (Easybop).
- To work with all members of the operations department. Providing support and maintaining company expectations of customer service within the department.
- Liaise with suppliers to ensure timely and cost-effective receipt of goods. Raising purchase orders on the company CRM.
- Assisting with booking hotels where required.
- Answer the telephone in professional manner and direct the inquiry to the relevant person.
- Undertake departmental filing.
- Compile O&M manuals on completion of contract.
- Collect and open the post daily before 1pm, ensuring supplier invoices and statements go to finance manager, remittance advices are scanned to job and sent to finance manager and quantity surveyor. Franking and posting mail.
- To ensure the Admin/Info/Contracts emails are monitored on a daily basis and enquires are directed to the relevant people.
- Maintain employee & sub-contractor training records on EasyBOP and book courses where required.
- Champion any Sentinel, Sub Station & LU Training.
- Meet and greet visitors.
- Source company vehicles when required for management / operatives.
- Ensure all maintenance/servicing/insurance/toll charges of the company vehicles is completed when required and records updated on EasyBOP.
- Check weekly/monthly mileage sheets from operatives/management and actioning any maintenance/ repairs.
- Manage the companies FORS Accreditation and associated processes.
- Assist in the On-boarding process of new staff.
- Archive completed contract files.
- Provide general administrative support in the office as required.
- Continued professional development.
Position Requirements - Contracts Administrator
- At least 3 years experience within a similar role.
- Competent in Word, Excel, and Outlook.
- Have a 'can do' attitude and a desire to succeed.
- Able to work both independently and as part of a team.
