Arriva Road Transport Services (ARTS) which is part of Arriva UK Trains and oversees and manages all aspects of coaches, buses, taxis and coordinators which are provided for rail replacement, special events, school support and train crew support across the portfolio of customers within ARTS in both a pre-planned and on an emergency basis.
We have an exciting new role within Arriva Road Transport Services (ARTS) to join the team as a Coordination Assistant. This role is on a 12 month fixed term contract. The location will be based out of our Derby offices.
Reporting to the Coordination Manager, the Coordination Assistant will be responsible for supporting with the management of Coordinators across the Arriva UK Train Operating Companies. The role will involve regular contact with both internal and external clients and is vital for the continuing success of our existing energetic and dynamic team in a growing business environment within the Road Transport Services.
Role Detail
Supporting the Coordination Manager with the day-to-day management of the coordinators.
Act as first ‘point of contact’ for any enquiries, requests, or business opportunities for Coordinator requirements.
Assisting the Coordination Manager in administering a roster of 280+ casual coordination staff in terms of shift allocation and KPI reporting.
Produce / distribute departmental paperwork.
Ensure that procedural timescales are adhered to at all times.
Supporting with collation of payroll information for processing within set time parameters
Collate operational feedback and evaluate any potential improvements.
Assist the Coordination Manager with processing and reconciling department invoices from external suppliers for coordinators
Maintain a robust and accurate filing system (both electronic and physical) to manage archive and reference material.
Maintain a positive working relationship with key stakeholders (internal & external), representing the interests of Arriva UK Trains in a positive and professional manner at all times.
Support the Coordination Manager in the business and commercial development of the department.
