Job description

Job Purpose

Overseeing the day to day departmental responsibilities of the ONE Credit Control Team, ensuring all tasks performed by the team are completed effectively, efficiently and in a timely manner. To provide excellent support and assistance to the offshore team relating to the general EUA accounts receivables working procedures and process management.

Assist the departmental manager maintaining/establishing appropriate financial controls, including manuals and ensuring that EUA Third Party Agents and ONE office’s comply with all ONE accounting policies and processes.

Primary Job Responsibilities and Measurement

  • To supervise day to day departmental responsibilities of the ONE Credit Control team.

  • To act as liaison between ONE GHQ EUA Offices and other RHQ’s and other RHQ teams as point of contact for all parties.

  • 1st point of escalation to advise/help to resolve on-going issues identified for agents, so that all EUA Offices adhere and understand ONE standing working procedures, instructions and requirements.

  • To minimise overdue outstanding freight in the EUA region by pro-actively working with ONE offices and Third-Party Agents in the EUA region (hereafter called agents).

  • Pro-active follow-up on bill of lading / invoice level with assigned agents via email, phone or scheduled conference calls to ensure timely billing and collection of all Ocean Freight & DMT charges collectable by the agents on ONE SIN behalf.

  • Perform centralised Credit Control 'helpdesk’ function for the EUA offices.

  • Verify customer credit applications received from EUA offices and ensure these are completed in line with ONE Global Credit Policy. Follow-up with requester in case of issues. Reviewing necessary reports to support the application.

  • Update/maintain customer credit limit and payment terms in OPUS for EUA customers where necessary and ensure distribution of terms across any other applicable regions/offices.

  • Distribute periodical overdue outstanding freight lists to assigned EUA agents and ensure that these are completed timely and contain relevant / useful information.

  • Analysing outstanding trend analysis and providing feedback.

  • Investigation/follow up on ROE issues with all offices/agents as required.

  • Processing of applicable ROE into OPUS.

  • Provide support to offices/agents in relation to any offshore matters regarding payment processing, invoicing & ROE issues.

  • Follow-up on ad-hoc queries and reporting requirements from GHQ or LON RHQ departments as requested.

People Management

  • Train and develop junior members in the Credit Control team, providing direction and vision by empowering and motivating them to achieve success.

  • Foster a strong desire to do well through actively managing performance.

  • Create an environment where everyone is enabled to perform to the best of their abilities.

  • Participation in projects assigned by the manager.

Scope of Role

Budget

  • No budget responsibility.

Location

  • Based in London RHQ, minimal UK or foreign travel anticipated.

Breadth & range of responsibilities

  • EUA region outstanding USD 250 million (estimated) of which USD 40-50 million overdue (estimated) at any given time.

  • 50+ ONE offices and Third-Party Agents within the EUA region.

  • Support the delivery of all credit matters across the EUA region.

  • Building and developing effective relationships with key stakeholders in EUA agents and SIN GHQ is an important part of this role.

Problems/Challenges faced

  • Main challenge is the large number of agents in the EUA region (50+) that the role is working with and the wide variety of issues that are coming up as a result of this.

  • Customer credit application requesters traditionally require substantial support and 'education’ before credit applications can be successfully processed.

  • Write off applications requesters often require substantial support in terms of required documentation and actions to be taken prior to an outstanding being eligible for write-off.

Skills, Qualifications and Expertise

  • Experience 3-5 years of relevant experience.

  • Experience of liner shipping.

  • Pro-active attitude and proven ability to take ownership of tasks and complete independently within given deadlines.

  • Proven ability to manage and work within a small team.

  • Proven ability to effectively communicate with GHQ and EUA Offices (Finance Manager level or equivalent).

  • Excellent written & oral communication skills.

Key Relationships

  • GHQ Singapore - Liaise in relation to policies & procedures changes. Report Information in relation to Aged Debt, and handle any queries that arise in relation to Aged Debt/Billing/Credit.

  • RHQ CSV, SYM, Trade, Sales & Marketing - Liaise in relation to Aged Debt/AR Related Customer Issues/Billing and Credit Matters for both Customers and Third Party Agents.

  • EUA Agents & Offices - Distribution of directives from GHQ, and act as liaison for all accounts receivable/billing/credit/system related issues.

  • Offshore teams - provide guidance and assist with query resolutions,
