Job description

Overview

The Premier League Youth Department is responsible for the delivery of the Elite Player Performance Plan (EPPP), a long term development plan with the aim of; 1) developing More and Better Home Grown Players, capable of playing in the most competitive and compelling football competition in the world; and 2) ensuring positive development outcomes for all Academy Players, regardless of whether they become professionals or not.

The Premier League’s Education team within the Youth department is looking for an outstanding Education Administrator to act as lead administrative support for the Sporting Excellence Professional apprenticeship and wider education programmes. The right candidate will have first class communication skills, a strong background in educational administration, enthusiasm to deliver, and high levels of accuracy in all their work.

All staff liaise closely with their line manager to manage their time appropriately and according to their work and team requirements.

The role

General:

Management of the administration function within the Education Department for approximately 600 learners in the Professional Development Phase (PDP), to ensure timely and accurate:

  • Maintenance of detailed Cohort lists, including subject specific cohort lists (i.e. A Level, Functional Skills)
  • Records of players in funding Additional Learning Needs (ALN) tracking Population of monitoring trackers on the Education Portal (SEP, Functional Skills, Off the Job Logs and other educational programmes e.g. A Levels)
  • Maintenance of detailed records of subcontracted providers, delivery organisations, delivery staff and associated CVs
  • Management of the resources to further develop the administration processes as required to ensure an effective service to the wider Education
  • Team Management of electronic administration systems, to include:
    • ACE360
    • Edexcel Online
    • Education Portal
    • Learner Record Service (LRS)
    • LMS
    • Maytas
    • NCFE Portal
  • Management of the process of registering Apprentices on the Digital Apprenticeship Service (DAS) account, in conjunction with the Data Team
  • Support the Head of Apprenticeships and Academic Progression in the issuing / update to contract schedules for the Club Apprenticeship Contracts
  • Ensuring accuracy of data in Maytas to enable correct claims to be made to the Education and Skills Funding Agency (ESFA) in the monthly ILR submissions
  • Ensuring Apprenticeship player records are accurately maintained for ESFA / Subcontractor Audit and OFSTED inspection, to include:
  • Monthly audit of learners on programme
  • 6 weekly Club update meetings with ASMs
  • Liaising with Academy Heads of Education and Core Programme Co-ordinators (CPCs) at each Club, as well as Premier League ASMs, Quality, Teaching & Learning Manager, Data Team, Head of Apprenticeships & Academic Progression and Premier League wider consultants, with a view to providing accurate and timely information regarding tracking of players progress for the Apprenticeship Programme
  • Carrying out all functions to ensure contractual compliance for the Apprenticeship Programme
  • Support the administration the U16 education programmes, as required
  • Any other duties which may be required from time to time by either the Head of Education & Academy Player Care or Head of Apprenticeships and Academic Progression

Management of Enrolment & Initial Assessment Process:

  • Request GCSE statements from Clubs and follow up with clubs for GCSE certificate evidence, or Personal Learning Record (PLR) on the LRS
  • Update players prior attainment on cohort lists
  • Ensure learners are set up on NCFE for initial assessment tests
  • Record Initial Assessment / Diagnostic test scores
  • Manage and track Enrolment forms Check eligibility of players
  • Create and manage electronic player files Add new starters to Maytas
  • Ensure learners are added to the Learning Management System (LMS)
  • Provide support for adding learners to the DAS system
  • Manage and track the issue / signing of Training Plans and Apprenticeship Agreements
  • Register Apprentices on ACE360 and maintain accurate learner records and planned end dates
  • Record information from Enrolment forms, Initial Assessments & GCSEs to identify any players with additional learning needs (ALNs) on a central tracker

Monitoring:

  • Ongoing management,  maintenance and administration of learners on the apprenticeship including: course changes, learner audits, player records and movements. Manage the tracking of 12-week player reviews
  • Inform the Quality Teaching and Learning Manager of the status of course tracking / off the job logs:
    • check start / end dates
    • check trackers are updated monthly
    • check results / final achievement
    • initiate certification / claims
  • Liaison with clubs & Data Team re: DAS accounts
  • Liaise with Data Team regarding off the job logs
  • Maintain liaison with subcontractors to include the tracking of Functional Skills courses
  • Administration for ACE360 End Point Assessments (Achievement Claims) and support for CPCs

Other:

  • Standard Operating Procedures to be kept updated.
  • Manage the process of tracking apprentice destination.

Requirements for the role:

  • Experience of Apprenticeship administration / Education Administration
  • Previous extensive experience working within MIS, Data and Administration
  • Experience of communicating with relevant agencies
  • Experience of managing multiple correspondence as part of inter- disciplinary team
  • Proven ability to handle confidential information and exercise discretion
  • Observational analysis and ability to interpret data
  • A good communicator with clear and concise written and spoken communication skills
  • Ability to demonstrate high level interpersonal dexterity to work effectively within an interdisciplinary environment
  • Knowledge of professional sports performance or development environment
  • Understand and appreciate context and cultural difference between clubs
  • Proof-reading and the ability to check report for accuracy and grammar High personal integrity and professional conduct
  • A hunger for continued learning and continuous professional development DBS Clearance
