Venesky-Brown's client, a public sector organisation in Edinburgh, is currently looking to recruit an Estates ServicesTeam Member for an initial 4 week contract with potential to extend on a rate of £13.21/PAYE. The working hours are 37 hours per week. This role will be based onsite.Responsibilities:- Meeting and greeting all visitors, staff, students, and contractors as the first point of contact in a positive, helpful and friendly manner at the Headquarters building - Operating the main switchboard whilst at reception dealing with all incoming telephone calls and redirecting appropriately again in a positive, helpful, and friendly manner - Dealing with enquiries received in person, by telephone and by email - Managing building access ensuring all proper signing in and out protocols are correctly administered, including issuing of visitor passes and fobs where necessary - Contacting staff to notify of visitor's arrival and/or providing clear directions for events/conferencing facilities as appropriate - Signing for/or issuing special incoming and outgoing mail including courier services - Ensuring contractors are properly signed in and badged up and that Property Logs and Asbestos Registers are presented for examination on all occasions - Acting as a First Aider, and reporting accidents and near misses - Monitoring security/fire prevention alarms and site CCTV systems, including remote monitoring of automatic barrier intercom system - Monitoring reception diary and co-ordinating any reserved parking at reception car park - Stewarding events where required to do so on a limited basis for both internal and external users, including evenings/weekends if required - Opening the buildings in the mornings where required and locking down the building in the evening, including checking that windows and doors are secure at close of business and setting alarms - Receiving and sorting all incoming and outgoing mail, parcels etc. including assessment of postage rates and operating franking machine - Dealing with staff enquiries re mail and ascertain the most efficient and economical method of posting where required - Provision of mail pick-up and delivery service across the location and coordinating these deliveries/collections with the mailroom functions - Ad hoc collection of other non-mail items and delivery across the location as appropriate - Checking photocopying rooms to ensure adequate supplies of paper in place and replenishing as required - Occasional setting up of conference/meeting rooms for functions (moving tables/chairs etc.) as required and tidying up after the events have finished - Assisting with occasional office moves within the location - Any other reasonable duties as requiredEssential Skills:- Experience of working in a public facing role with a positive, helpful, and friendly style - Good communication skills - both written and verbal - Possess good interpersonal skills and able to work collaboratively in a team - Understand and adhere to health and safety guidelines, policies and procedures - Ability to work flexibly and unsupervised at times - Good working knowledge of MS Office packages including Outlook, Word, Excel, MS Teams Desirable Skills:- Delivering 5-star customer service - Knowledge of telephone switchboard systems - Awareness of workplace Health and Safety approaches and logging methods- First Aid at Work qualificationIf you would like to hear more about this opportunity please get in touch.Indeedpublicsector
