Successful and expanding Events and Conference business based near Canary Wharf is looking to recruit a bright, enthusiastic and dedicated Events Executive to join their team!
The Events Executive will assist the team by providing impeccable administrative support to the whole office when required with a direct reporting line to the Operations Manager and overall reporting to the COO. Duties include but are not exclusive to:
- Being the first port of call for incoming registrations and queries by phone and email
- Updating and maintaining the database (HubSpot)
- Assisting the coordination of multi-event group bookings
- Responsibility for sending email confirmations and periodic reminders
- Assisting with registration at in-person events, welcoming delegates, providing badges and being a main point of contact throughout the event
- Sending and chasing delegate invoice payments, payment links and taking payments over the phone
- Creating virtual event platforms, with responsibility of adding and updating content
- Supporting the operations manager with preparation and delivery of events including, printing, and creating event materials and ordering equipment
Knowledge/Experience desired:
- Proven experience of operating all office equipment, including video calls
- Previous Office Administration experience
- Demonstrable experience of working effectively in a high-pressure and challenging environment
- Competent IT skills; HubSpot database knowledge a plus but not necessary but an aptitude for learning new software is a must
- Good knowledge of MS Office applications
- Strong interpersonal and organizational skills
- Strong oral and written communication skills
- Attention to detail (a must)
- Ability to multi task effectively
- Ability to take unexpected eventualities in their stride, and to cope well under pressure

Working hours 9.00-5.30. International travel may be required. The person would be required to work at least 3 days in the office and unsociable hours when events are held.
