As Executive Assistant you'll take on multiple projects and offer first class support to our executive team. Reporting to the co-founder of Hearst solution, your responsibilities will be at the cross section of project management and executive assistance in a fast moving startup environment. You'll play a pivotal role in driving forward key projects, supporting our executive team and enable the execution of strategic initiatives. You will work closely with our executives, ensuring smooth operations and effective communication within the company and with out customers.

This is a full time, flexible role, which is 100% remote.
Key Responsibilities include but are not limited too:
- Project Management: Provide support and take the lead on various projects, conducting research, gathering data, and collaborating with different teams as needed.
- Documentation and Correspondence: Prepare and edit documents, reports, and presentations for executive meetings. Handle confidential information with discretion.
- Expense Management: Process and track executive expenses, ensuring accuracy and compliance with company policies.
- Customer & partner relationship: Act as the primary point of contact between executives and internal/external stakeholders, ensuring effective communication and timely responses.
- Calendar Management: Efficiently manage and organize the executives' calendars, scheduling meetings, appointments, and travel arrangements.
- Communication internal and external: Your writing skill help you to master internal communication to the different teams and external communication to partners and customers
- Contract review and signature: Prepare electronic signature for contract, review and send to customers, keep track of the signature and archive signed contract in the folders
- Travel & Event Arrangements: Coordinate travel plans, itineraries, and logistics for business trips, including flights, accommodations, and ground transportation.
- Meeting Support: Assist in preparing meeting agendas, attend meetings, take minutes, and follow up on action items.
Skills & tools:
- Google suite (Gmail, drive, calendar, meet, workspace,...)
- Productivity (Google docs, Google Sheet, Google slides)
- Organisation (app.roadmap, trello, Notion,...)
- Proficient in Microsoft Office Suite and other relevant software.
- Languages - English
Qualifications:
- Proven experience as a Executive Assistant or in a similar coordination focused role.
- Exceptional organisational and time-management skills.
- Excellent communication and interpersonal abilities.
- Ability to handle sensitive information with confidentiality.
- Strong attention to detail and problem-solving skills.
- Proactive and able to anticipate the needs of the executive team.
Education and Experience:
- Previous experience in startups
- Previous experience working alongside C-level executives.
