Job Title: Executive Assistant (3-Month Contract, with Possibility of Extension)

This role provides a unique opportunity to work as part of a small team providing high-level executive support to the Council's Senior Leadership Team (SLT), which includes the CEO and three Executive Directors. To be successful in this role we are looking for individuals who both on their own and collectively as a team can take responsibility and ownership of office organisation, correspondence, deadline compliance, scheduling of meetings and play a support role in areas such as project management, human resources and finance and ICT to ensure the day to day needs of the SLT are met. You will have well-developed business support and organisational skills, be confident, highly perceptive, discreet and focused on the organisation's and Borough's future.
Responsibilities:
To provide comprehensive personal assistance to the CEO of the Local AuthorityTo proactively manage and coordinate the complex diary of the CEO by prioritising and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided. Ensuring the diary avoids any conflicts.To act as a key point of contact between the CEO and Mayoral offices of the Local Authority.Coordinated large-scale meetings and VIP visits, including venue management, guest lists, catering requirements and liaising closely with communications colleagues to ensure appropriate media coverage.To act as the key interface on behalf of the CEO for citizens, visitors, and regional partners, especially those who work closely with directorate teams (both in the office and by email/phone/virtual).Provide full administrative support to the CEO whilst maintaining effective filing and data storage including emails and retrieval systems.Ensure that all communications are appropriately dealt with, where appropriate replying on behalf of the CEO.To exercise judgement, initiative and discretion in sorting urgent and non-urgent communications/ correspondence, telephone calls and when dealing with items of a personal or confidential nature.To provide support for CLT meetings as required.To provide the CEO with effective briefings for a complex network of meetings and setting out the priorities for the day, schedule of meetings, all appropriate papers and highlighting any information or emails of an urgent nature.To plan and manage key organisational events that involve the CEO's attendance.Qualifications:
