Job description

Salary: £32,952 - £38,613 per annum

The BFI is looking for an Executive Assistant to the Executive Director of Knowledge Learning and Collections, to provide supplementary secretariat and other administrative support to the KLC senior team, to facilitate the smooth running of the Directorate.

The role will also play a vital role in supporting key external relationships, networks, strategic events and activities, monitoring and evaluation activity and relevant reporting.

As well as working with BFI colleagues across the organisation, the post holder will liaise with sector, industry and political partners and key relationships nationally and internationally.

Key responsibilities include:

To provide full and confidential administrative, secretarial and personal assistance to the Executive Director of Knowledge, Learning and Collections including:

  • Comprehensive email inbox and diary management.
  • Full coordination, agenda preparation and minute-taking for internal and external in person and virtual meetings, including coordinating attendances, booking and preparing rooms, arranging catering / refreshments and booking travel and accommodation.
  • Supporting the Executive Director on all BFI Committee, Executive Board and Board activities by preparing summaries, papers, slides and data.

We are looking for candidates who have:

  • Demonstrable experience of supporting at Director or Board level in a financial or business operations environment.
  • A high level of aptitude for working in an administrative capacity, including inbox and diary management and minute taking.
  • Proven ability to manage conflicting priorities, agendas and stakeholder needs in a business administrative setting.
  • Experience of handling tight deadlines and last-minute changes under pressure, adapting quickly and problem-solving independently.
