Our client is seeking an Interim Executive Assistant to support the Managing Director, Board and Senior Leadership Team.
The role is temporary whilst they recruit permanently into the position and the successful temporary applicant can apply for the permanent role.
The role is office based close to Norwich Airport.
Main Responsibilities:
- To be proactive and work using their own initiative to respond to issues and resolve matters as they arise, including those of a sensitive and confidential nature.
- Provide admin support for quarterly Board meetings (and other ad hoc Board meetings as required) and Board/Trade Union Representatives meetings (invitations to members and guests, issue agenda/reports, liaise with guests, produce and issue detailed minutes and action log.)
- You will co-ordinate meetings including diaries/set dates, collate and issue agenda and any other paperwork, produce and issue minutes) for various strategic and operational meetings on a monthly and quarterly basis.
- Collate data and populate Environmental Services monthly scorecard.
- Book regular 1:1s and six-monthly appraisal meetings with MD’s direct reports.
- Book weekly Operations Meetings for MD and Ops Director
- Prepare project register monthly for completion by MD and others.
- Collate MD’s meetings actions.
- Format/proofread MD’s formal reports to the Board and Shareholder Panel, and any other ad hoc reports as required, ensuring consistency.
- Ensure all deadlines are met for various meetings/reports.
- Diary management for Managing Director
- In MD’s absence, monitor emails (replying/forwarding/actioning as appropriate).
- Monitor Board Chair’s emails (forwarding urgent items to her private email as appropriate).
- Manage MD’s email inbox size (archiving large emails/attachments).
- Support SLT on large complex projects as required
The successful applicant will:
- Have substantial Executive Assistant / Personal Assistant experience at a Senior Leadership team / Board level
- Proven diary management experience
- Be confident minute taking at Exec Level meetings
- Strong organisational skills
- Good presentation skills
- Excellent IT Skills
