At Adaptable Recruitment we have a fantastic opportunity for an Executive Assistant to the CEO and Directors within a global leading business based in Liverpool area (moving to Speke)Package:
- Salary £29,000 DOE
- Full-time, Permanent
- Hybrid Flexible working pattern
- 8.45am - 4.45pm Monday - Friday (35 hours per week)
- 25 days annual leave + bank holidays
- Pension contribution up to 7%
Location: Liverpool (moving to Speke - May 2024)Main Responsibilities to include:-
- To maintain a strong working relationship with all stakeholders, internally and externally.
- To provide a flexible and bespoke administrative support to CEO and Directors including diary management, expense returns, scheduling meetings, planning events, organising travel and preparing travel itineraries, correspondence and managing emails.
- To organise meetings. Including coordinating the agenda, location, catering arrangements, coordinating stakeholders to submit reports, taking and preparing minutes and ensuring that follow up actions and key deliverables are completed/updated.
- Managing the content and flow of information to the CEO
- To maintain confidential correspondence and organised filing systems for the CEO and Directors.
- To coordinate and distribute all reports and documentation for meetings of FRC Group Board of trustees and subcommittees and other meetings with external third parties.
- Managing stationery supplies, franking machine tops up, and other office management supplies.
- To process purchase orders on behalf of the CEO and Directors.
- To conduct research/analysis and compile data as directed by the CEO.
- To produce reports for the CEO as and when required.
- To provide administrative support to the CEO and Directors in implementing organisational projects and programmes
- To field, prioritise, manage and respond where appropriate, to enquiries made to the CEO (by email, telephone or other channels).
- Any other duties identified by the CEO.
The Ideal Candidate:-Experience -
- At least 3 years experience in a similar role in a fast paced environment with fluctuating priorities and deadlines
Skills -
- Well organised, highly motivated with advanced general administrative skills, great time management skills and the ability to act without guidance.
- Ability to distinguish between issues requiring CEO / Director involvement and those that do not.
- Excellent verbal and written communication skills.
- Detail oriented, experienced planner with the ability to communicate and respond effectively and flexibly.
- Advanced skills in Microsoft Outlook, Word, PowerPoint and Teams Intermediate Excel skills.
- Able to prioritise and handle multiple assignments at any one time.
- High level of integrity and discretion in handling sensitive and/or confidential information.
- Energetic and eager to tackle new projects and ideas.
- A team player capable of cultivating productive working relationships across the company.
- Resourceful, can-do attitude
Essential Criteria-
- Full driving licence
- Educated to degree level or equivalent
