Executive Assistant to CEO - London
We have a superb opportunity for a simply outstanding EA who is currently supporting at C-Suite and is looking for a fresh challenge, supporting 1:1 for a busy CEO.
The company are fast paced, have a wonderful atmosphere and are a high performing finance house and employees are supportive, team orientated and self-motivated to succeed, enjoying superb offices and working 4 days onsite and 1 from home, 8 - 5 daily, with a little responsiveness out of hours as expected at this level, although not excessive.
The role is ideally suited to a candidate that understands the nuances of supporting at senior level and can happily negotiate a C-Suite inbox, initiating correspondence professionally and quickly and able to make decisions around it. Perhaps you are working currently for senior leadership within FS or for a big ticket PLC and understand the complexities and prioritisation required at this level.

Your primary focus is to join your stakeholders with their vision and be anticipatory, booking meetings and thinking ahead of the game and developing exceptional working relationships with your boss and the wider business. Having a keen business awareness and understanding is helpful around key company events in calendar, roadshows, year-end etc.

You should have exceptional diary management and the ability to take minutes and create agendas on an ad hoc basis and should be confident around assisting with event arranging on occasion.
The successful EA will be naturally adept at juggling priorities and understanding the pace of the role and be a very confident ambassador, with outstanding gate-keeping skills and a sparkling personality!

The Role
Executive Business Support for the CEO includes, but not limited to:
- First point of contact for CEO delivering a professional image for all internal and external contacts
- Responsible for proactive full diary management, with an understanding of business context to enable appropriate prioritisation, action and accurate handling timeously.
- Full inbox management, prioritising key actions, responses and responding where appropriate. Handling sensitive and confidential information efficiently, with discretion and accurately in a timely professional manner.
- Coordinate and organise all CEO internal and external meetings, VC's and calls efficiently to capture all time zones, prioritisations and re-arranging where necessary.
- Able to set up and maintain accurate e-filing system
- Building and maintaining strong working relationships both internally and externally and other key contacts at all levels.
- Arranging travel itineraries and accommodation in conjunction with the external travel team ensuring compliance with internal policies.
- Monitor, track and action tasks, escalating and delegating where appropriate
- Accurately processing invoices and expense management support through Concur and facilitation for ensuring payment terms are met.
- Assisting with signature processes on legal and executive documentation via DocuSign or as required for a wet signature.
- Plc Board and committee - assist CEO with meeting deadlines for the submission of reports in line with plc board expectations including requesting information, proofing and formatting.
Skills and attributes required
- A demonstrable attitude towards managing highly confidential and sensitive information with discretion and integrity. Confidentiality is imperative.
- Experience of supporting a C-Suite (CEO) within Financial Services company highly desirable
- Experience of supporting a board director and an understanding of plc boards highly desirable
- Highly organised and able to prioritise effectively with minimal supervision.
- Excellent MS Office, Concur, DocuSign and MS Teams skills.
- Develop and maintain a good working relationship within the wider team to ensure the CEO is well placed to deliver their objective
