Our client is a professional services firm with amazing offices in the City and a great culture, looking to hire a Facilities Assistant on a 6-month contract to support the Facilities Coordinator.
This is a great opportunity for someone with office experience looking to get into a facilities role.
Salary £30,000 pro rata + fantastic benefits package, 25 days holiday + bank holidays.
Contract: 6-months contract (with possibility to extend)
Location: City. Amazing offices, great culture!
Working hours: either 8am-4.30pm or 9am-5.30pm Monday to Friday
Start date: As soon as possible but will wait four weeks for the right candidate.
Facilities Assistant role:
- Assisting with the onboarding of new starters - taking photos for building access passes, carrying out office/floor inductions, sending a welcome email
- Assist the Facilities Coordinator with internal events ensuring the rooms are set up as needed
- Conduct floor walks on the company’s 3 floors logging any facility or Health and Safety issues
- Monitor the company’s stationery supply , order stationery and ensure the stock of regular items needed is provided
- Ensure the company’s internal meeting rooms are presentable on all floors throughout the day
- Maintaining the Facilities department key suppler list
- Arranging temporary access for contractors coming into the office to carry out work
- Attending weekly team meetings with the Head of Operations and Facilities Coordinator to plan for the week ahead and discuss any facilities issues
- Logging any facilities management issues with the Building Manager, ensuring issues are resolved in a timely manner
- Monitoring of all third-party contractors (cleaning staff, hospitality, maintenance, security, stationery) reporting any issues to the Facilities Officer
- Work with the Facilities Coordinator to prepare desks for new starters and desk plans/moves
- Assisting the Facilities Coordinator with the coordination of workstation risk assessments
- Assist the Facilities Coordinator with the coordination of any emergencies, fire evacuation procedures and the company’s Fire Marshalls
- Refill the fridges on each floor with beverages
- Ensure all documents relating to suppliers and any facilities issue are filed accordingly
- Liaise with the company’s office cleaners to ensure all cleaning requests are completed
Facilities Assistant profile:
- Have previous facilities experience or want to get into a Facilities Assistant role
- Have office experience
- Be enthusiastic ,with as positive, “Can Do”. proactive approach
- Be a great team player
- Excellent organisational, multi-tasking, prioritising and problem solving skills
- Strong communication and interpersonal skills, with the ability to communicate in a confident and professional manner with all levels of the business
- Excellent attention to detail
- Good MS Office skills especially Word, Excel and Outlook
