What you will be doing
Proactively collaborative with all parties within the Facilities department and related compliance functions, as well as external contacts, to maintain a fully operational document management system that controls all documentation across Facilities.
Effectively manage all inbound documentation to ensure the accuracy of its contents liaising with subject matter experts from around the business and/or contractors and suppliers where ambiguity exists ensuring all information is legible/credible in line with expectation while ensuring full compliance to legal & regulatory requirements.
Be responsible for maintaining the Pre-Planned Maintenance schedule to ensure inspections and maintenance visits happen in timely manner before compliance documentation expires.
To be responsible for coordinating admin support for all Facilities audits (internal and external) and to liaise with other departments to ensure full cooperation and attendance targets are met.
Participate and/or conduct audits within the documents and records control systems designed to monitor internal compliance and look for continual improvement.
Coordinate and maintain compliance documentation from all assigned contractors working on behalf of Ricoh UK and to undertake periodic review and update activities with all parties helping to ensure all suppliers meet Ricoh’s requirements.
To be responsible for other general Facilities support during busy periods in collaboration with the rest of the Facilities team to ensure the upkeep and presentation of the office space
Responsible for supporting the Fleet manager by periodically maintaining the company car fleet database to ensure details are kept up to date.
To be responsible for supporting the Fleet Manager in providing first line Fleet support, acting as a point of contact for employee queries and compliance processes (e.g., servicing and MOT reminders, fuel card management), to help ensure that all company vehicles remain roadworthy.
Responsible for supporting the Fleet manager with other ad hoc administration including employee car changes, requests for compliance documentation and assisting with any administration linked to insurance claims, all to ensure that Fleet processes are completed in a timely manner.
