Office Manager and Facilities candidate required to join this very well-established and reputable business in the local area.

  • Job Type: Full-time
  • Office based, Monday to Friday – 8am to 4.30pm with some flexibility on offer.
  • Fixed term contact to cover maternity leave until September 2025.
  • Start date: End of April 2024/Early May 2024.

We are looking for an experienced Facilities Manager to oversee the management of office buildings and services, ensuring a safe, clean, and suitable working environment for our employees.

The role involves all aspects of building maintenance and repair, coordination with contractors, and compliance with health and safety standards and legal requirements. This position also includes the management of tenant relations and office setups at construction sites and sales suites.

Day to Day of the Role:

  • Manage and resolve all day-to-day facilities-related issues, either directly or through the Landlord’s Managing Agent.
  • Coordinate all office-related contract services, including office security, and manage relationships with suppliers.
  • Handle reactive and planned maintenance, including decorative and refurbishment works, and obtain landlords’ consent for building works.
  • Maintain office PPM inside and outside of working hours and ensure all PPMs are completed on time.
  • Maintain good Landlord and Tenant relations and attend quarterly meetings.
  • Manage the provision of all office supplies and services, liaising with suppliers, and review existing services to align with business needs.
  • Support and coordinate internal moves and changes, including office layouts, to ensure minimal disruption.
  • Provide support for sales suites or sites with equipment ordering, health & safety, and PPM management.
  • Manage tenant relations in other offices and sites, including invoicing, budgets, and landlord issues.
  • Assist in maintaining and reviewing business continuity plans for facilities and office services support.
  • Manage the company car fleet, including leases, insurance, fuel cards, and notices.
  • Ensure first-class customer service at reception, managing permanent staff and temps for cover.

Required Skills & Qualifications:

  • Proven experience in facilities management, preferably within a similar industry.
  • Strong understanding of health & safety regulations and building maintenance.
  • Excellent organisational and time-management skills.
  • Ability to manage multiple projects and work under pressure.
  • Strong communication and interpersonal skills.
  • Experience in managing a team and driving engagement and high performance.
  • Proficiency in managing budgets and liaising with suppliers and contractors.
