Duties of the Finance and Business Manager:
- Member of the Leadership Team (SLT) ensuring that the organisation provides outstanding Business and Finance management and functions to meet its educational aims
- Responsible for providing professional leadership and management of Business Support Teams to enhance their effectiveness
- Promote the highest standards of business ethos in the finance, business and site functions within the organisation and strategically ensure the most effective use of resources in support of the objectives of the business
- Liaison with the SLT and Trustees
- Lead role in managing health & safety, marketing and linked policies and procedures
- Responsible for the oversight of ESFA funding allocations and to keep abreast with changes to funding regulations including but limited to ESFA and DfE
Finance Management:
- Lead professional for all financial arrangements and the charity status
- Ensure day to day financial duties are completed in a timely manner
- Take delegated responsibility for financial decisions
- In consultation with SLT, ensure that all staff are paid on the correct scale and spine column point and to provide appropriate information on pay to staff
- Prepare papers and reports for Trustees' meetings as requested by SLT
- Regularly review the Finance Policy and make amendments following consultation with Trustees
- Responsible for, and ensure that, mechanisms are in place to maintain and develop sound systems of financial control and to ensure the accounting function operates efficiently and effectively
- Manage budget changes throughout the year ensuring relevant documentation is completed
- Reconcile on a monthly basis all of the financial records
- Monitoring budgets and to report regularly on the financial state of the organisation to SLT and the Trustees
- Advise on investment and financial policy, preparing appraisals for particular projects and for the development of a long-term financial strategy
- Manage and co-ordinate the preparation of end of year accounts and to liaise with the auditors and lead on any audit reviews implementing any recommendations
- Manage funds on a day-to-day basis and ensure that it is audited once a year
- Provide detailed management accounts according to an agreed schedule, reporting immediately any exceptional problems
- Prepare all finance returns for external regulatory bodies such as the DfE, Charity Commission and the ESFA within statutory deadlines
HR Management:
- Robust HR processes and procedures applying HR policies and procedures, seeking guidance when required
- Support effective and timely recruitment of new staff including on-boarding
- Efficient, accurate and timely Payroll functions
Health & Safety Management:
- Take lead role in maintaining Business Continuity and Risk Management records, acting as the lead contact on all health and safety issues ensuring that the organisation is a safe environment for all its users
General Management
- Coordinate business operations team meetings and provide the members of the team with quality advice, plans and solutions, where appropriate with oversight of funding responsibilities and duties including ESFA updates and maintaining knowledge of current FE initiatives
Leadership and Development
- Ensure a programme of induction and training to all staff
Policies Administrator
- Ensure all policies are up to date and compliant with statutory guidelines and are available on the appropriate platforms and maintain a list of policies with dates of ratification and review
Marketing Management
- Attend promotional events to advertise services and update NATSPEC directory
Projects Manager
- Take on a lead role supporting the development of the organisation working alongside SLT with projects as required and undertake the necessary research required to support project planning
Safeguarding
- Promote and safeguard the welfare of children and young persons you are responsible for or come into contact with
