Department Information

Equiniti's Group Property team are responsible for the strategic and tactical management of approximately 25 properties across UK, Europe, North America and Asia with an annual budget of approximately £25m. Reporting into the Chief People Officer this role provides strategic and operational leadership to both the internal and outsourced teams.

Role Summary

Responsible for the development and implementation of a Group wide Property Strategy, that maximizes the utilisation of the portfolio to best serve the businesses strategic needs. Portfolio management of all leases across an international portfolio, ensuring business continuity whilst delivering value for money. Provides strategic management of the outsourced Facilities Management model to ensure an excellent customer experience is delivered to all business units. Develop excellent relationships with executive level stakeholders to influence key strategic and operational property decisions across the Portfolio.

Core Duties/Responsibilities

The successful candidate will be responsible for the following:

  • Ensure that the Equiniti Property Strategy is fully aligned with all elements of the wider business strategy and covers at a minimum;
    • Emerging offshore requirements across the Group
    • Current and future acquisitions
    • Schedule of improvements to meet employee/business/lease requirements
    • Outlines opportunities to reduce cost through further optimisation
  • Managing all lease events and property related requirements across the International portfolio including:
    • Acquisitions
    • Disposals including settlement of landlords dilapidations claims
    • Rent Reviews
    • Lease re-gears
    • Rating reviews and appeals
    • Local Planning or State Code requirements
  • Develop strategic and tactical proposals in line with the Group Property Strategy for submission to the Property Steering Board, gain approval and execute
  • Manage FM Services and Maintenance contract to:
    • Ensure site FM Managers delivers all aspects of hard and soft services, looking for alternative solutions, introduce new service lines to increase integrated proposition and improve performance
    • Ensure FM performance is achieved against standards and technical specifications and are aligned with contractual agreements & KPIs
    • To manage, control and deliver the financial requirements of the contract in line with the budget
  • To develop and maintain relationships with the site champions and key Group decision makers, understanding their operational and strategic aims and the demands and nature of the business
  • Prepare, set and agree annual budgets including both operating costs and capital proposals. Monitor and review financial performance through forecasting and profit and loss accounts, ensuring sites operate within budget
  • Develop appropriate ESG initiatives across the Equiniti estate to reduce the consumption of electricity, gas and water; reduce waste and introduces additional environmental benefits
  • Develop and maintain a robust H&S Management system within the group that ensures that:
    • Health, Safety and Environmental audits are conducted for all group properties and that findings are addressed in a timely manner
    • All accidents, Incidents, Near Misses etc. are reported and investigated in accordance with local legislative requirements
    • All group properties fulfil local legislative requirements with respect to Health, Safety and Environmental needs
    • All works are completed such that they comply with legislative, environmental and H&S legislation
  • Maintain professional and positive company image
  • Develop and maintain risk register data reflecting business readiness with respect to areas such as loss of power to a site and security requirements
  • Manage and develop the Equiniti Property team to ensure accurate and timely delivery of all requirements

Skills, Knowledge & Experience

  • Extensive experience in Property & Facilities Management Role at a Senior level, delivering end to end strategies
  • Thorough understanding of all aspects of Landlord & Tenant occupational requirements
  • Educated to Degree level, or equivalent
  • NEBOSH / IOSH qualification
  • Thorough understanding of all aspects of Cost Centre P&L management
  • Ability to lead a team to deliver a complex projects across a wide area of the business both on time and in budget
  • Excellent Stakeholder management skills at all levels of the business
  • Strong analytic skills, comfortable using fact-based analysis to support business decision making
  • Capacity to engage with strategic issues and work alongside stakeholders to develop pragmatic plans of action which are aligned with their business needs
  • Team player, with the capability to lead and motivate peers across the organisation
