Introduction
We are currently looking for a HR Assistant to join our HR Shared Services team here at our Headquarters at Doncaster Lakeside. This roll will help with the provisions of day-to-day transactional HR services for all DB Cargo UK employees including; the processing of employee job changes, pension administration, contracts and new starter documentation, medicals and staff travel
This position also offers hybrid working from the successful candidates residence and our Doncaster office. There will be a requirement to be in the office full time during training and then 2/3 days a week in the office.
The starting salary for this position is £27,053.00 and once the successful candidate has reached full competency this will be increased to £28,555.00 per annum.
Our HR department at DB Cargo UK works in two parts. We have our Operational team who are field based and support line managers and employees directly with any employee relations matters. We then have our Shared Services team who look after the transactional requirements including the likes of contractual changes. Payroll also sits with our HRSS.
What will you be doing?
Here is a list of the day to day responsibilities the successful candidate will be actioning:
Maintaining colleague information on our HR Information Systems (HRIS - Workday) as well as answering queries and resolving problems for colleagues and the wider business.
Issuing contractual/recruitment documentation, ensuring the content is complete and accurate, taking responsibility for and personally signing all correspondence and advising line managers of their obligations in relation to the necessary process and documentation.
Managing an appropriate workload ensuring that all work is dealt with in a timely and accurate manner, escalating complex problems to the relevant HR Advisor/HR Business Partner/line manager as required.
Taking ownership of any query and/or issues raised seeing it through to resolution and keeping the relevant manager/HR colleague informed where appropriate.
Following published internal and external procedures and work instructions where supplied, using appropriate judgement as to when to escalate issues to the relevant line manager/HR colleague.
Appropriately challenge any requests for transactional processes made which deviate from standard procedures, taking corrective action or escalating to a line manager/HR Colleague as necessary.
Work within and maintain HRSS KPIs and review processes to ensure activities are carried out in the most efficient, cost-effective way.
Process completed HR forms as allocated, ensuring appropriate levels of authorisation (financial or otherwise) are obtained before any contractual changes are actioned.
Perform any necessary internal checks or audits on data ensuring that all transactional processes and the four-eye principle is complied with.
To contribute to the continual review and improvement of HR transactional processes ensuring the delivery of a customer focused, added value service.
To maintain confidentiality in all matters, adhering to General Data Protection Regulations (GDPR) at all times.
To support all areas of the business in relation to broader requirements relating to transactional HR activities, under the direction of the HR Shared Services Manager.
What are we looking for?
Demonstrable experience within an administration function, preferably HR.
Experience of Microsoft Office products e.g., Word, Excel to an intermediate standard.
Ideally experience of working with a HRIS or bespoke software.
Experience of working to strict deadlines and prioritising workloads.
Experience of maintaining attention to detail and accurate data entry required.
Experience of communicating with a broad range of internal and external customers, at all levels.
A CIPD qualification is desirable but not essential.
Knowledge and understanding of UK employment law and GDPR regulations.
An ability to work with discretion and confidentiality.
