Job Role
This is a varied job role;
Tasks include but are not limited to;
- General administration tasks such as answering the phone, directing phone calls, ordering supplies and filing.
- Arranging meetings, inviting delegates and taking, typing up and sending out minutes.
- Maintaining a confidential working environment in keeping with requirements of GDPR
- Providing organisational support to the team
- Daily line management of Maintenance Operative
- Responsibility for devising and maintaining a spreadsheet of maintenance tasks
- Responsibility for applying for DBS clearance (training provided) for staff
- Responsibility for setting up and maintaining confidential personnel files
- Responsibility for management of staff log in system
- Organising week and month end figures for wages
- Overseeing requests for annual leave, calculating amount due.
- Monitoring sickness/lateness/absenteeism recording and reporting to management and take lead on disciplinary processes around sickness
- Organising training courses and recording in training matrices as required by management
- Responsible for petty cash processes
- Inputting data onto home occupancy matrix with fee income details. Inputting monthly sales data / remittance onto sage.
- Researching suppliers and obtaining quotes
- Analysis and costing comparisons.
- Online ordering of stationery and stock items.
- Management of the purchase ledger system
- Liaising with suppliers to ensure works are scheduled and carried out
- Ensuring meter compliance around readings and charges
- Updating Capex spreadsheet
- Cash specific actions such as calculating and dispensing monies
- Any other task deemed suitable by home management
