Import Coordinator required for our Ashford based client. You will be working as part of a team, creating value for clients by providing excellence in delivery of the company's freight forwarding services, contributing to the objective of providing 100% satisfaction to build customer loyalty.
PRINCIPLE RESPONSIBILITIES:
- Ensure that the operational processes of the imports (Air/Sea/Road) are completed as per each customer’s requirement within their own costing framework, under supervision from the Import Manager.
- Oversee the subcontractors who provide core services, reporting any service failures to the Operations Manager.
- Maximise the use of in house I.T. software (Boxtop) and to ensure that KPI's (Milestones) are kept up to date daily.
- Check periodically any detail to ensure that all KPI's and processes are on track and up to date.
- Work with the accounts department to ensure the operational department complies with any deadlines for invoicing and query management.
- Ensure customer’s needs are the daily top priority, building customer confidence by meeting commitments and delivering the greatest value.
- Develop an understanding of customer demands and expectations in line with the ethos of providing 100% customer satisfaction.
Operations Duties
- Be the main point of contact to our customers/agents for all Import Sea and Air operations.
This will entail gathering the following info: All current supplier details (co-loaders / agents / hauliers / clearance agents / preferred shipping lines / couriers any other supplier that crops up.
- Support Import Manager in building relationships with new and existing customers for long term prosperity???????
- Quote existing customers/agent and prospective customers for Import shipments. Follow up on quotations, gaining feedback on our offers.
- Responsible for handling their import shipments from start to finish.
General Administration Duties
- Handling any invoice queries that arise for customers or suppliers in conjunction with the accounts department.
- Mailing Sales invoices and collating supporting paperwork
- Processing cost of sale purchase invoices against accruals using the 'Boxtop’ freight operations system
- Support the Import Manager
- Effectively use all Microsoft Office and database systems.
- Taking and receiving telephone enquiries and providing excellent customer service skills
- Processing client files on the 'Boxtop’ operating system.
- Keeping customers, vendors and colleagues updated where necessary
- Maintain an accurate paper and electronic filing system
Applicants must have 1-2 years experience working in an Imports role for a Freight Forwarder.
Hours: Monday - Friday 09:00 - 17:30
Salary: £26,000 - £30,000
