As a Junior Resource Manager, this is an entry level role within the department and training will be given in all the responsibilites detailed below. You will play a crucial role in managing the resources and operations of our studio. Your primary responsibility is to ensure the efficient allocation of studio staff, freelancers, and resources using Resource Guru and other scheduling systems. You will work closely with Delivery Managers, Leads, Chapter Heads, and various stakeholders to ensure smooth project execution, manage timesheets, handle leave requests, and contribute to the overall success of the studio.
Key Responsibilities
Resource Management:
- Ownership of Resource Guru: Efficiently book and schedule all studio staff, ensuring that Resource Guru is up-to-date and utilized appropriately.
- Issue Resolution: Collaborate closely with Delivery Managers and Leads to resolve scheduling conflicts and resource allocation issues.
- Capacity Planning: Identify the need for additional capacity or freelance support, and support in recruitment efforts when required.
- Resource Governance: Ensure compliance with scheduling policies and guidelines (resource policing).
Meetings and Communication:
- Resource Meetings: Lead resource meetings with Chapter Heads and Delivery Managers to discuss resource allocation and project priorities.
- Timesheet Management: Oversee permanent staff timesheets, ensuring accuracy and completeness.
- Freelance Timesheet Approvals: Review and approve freelance timesheets, and process freelancer invoices.
- Leave Management: Manage holiday, sick leave, and other time-off requests for studio staff.
- Contract Hires: Assist with onboarding new freelance contractors, including contract management.
Financial Oversight:
- Finance Meetings: Attend weekly finance meetings, cross-checking resourcing against billing plans to ensure financial alignment.
- Cost Management: Monitor and manage freelancer costs to stay within budget.
- Risk Management:
- Proactive Risk Identification: Identify and manage risks and issues, resolving them before they escalate or become significant obstacles.
- Adapt to Change: React to changing priorities and communicate the impact of changes on resource allocation and project timelines.
