Job description
We have an exciting opportunity for an experienced administrator to join a client's Maintenance Team on a permanent full-time basis. You will be based on a client site near Cardiff City Centre and responsible for all administration tasks for the contract and provide support to the Contract Manager.
You will ideally have good working experience working within Facilities Management Administration or a similar background working for maintenance or building contractors.
23k - 25k DOE
Main duties and responsibilities
Accurate data input into in house and client systems.
Create and manage quotes using Excel and Word.
Monitor and review Service Requests for Planning and closing of completed works prior to invoicing.
Carryout site inductions for all sub-contractors/visitors and issue work permits where required in conjunction with Maintenance supervisor
Run weekly, monthly reports to ensure data integrity
Monitor and Review Call outs and to ensure they have been booked in
Communicate efficiently with clients
Raise purchase orders and ensuring correct costs are inputted accurately.
Ordering materials for engineers/Monthly materials
Deal with general queries and complaints
Identifying problem subcontractors and bringing it to the attention of the Contract Manager
Keeping access details for buildings up to date
Update clients on existing jobs weekly
Assisting with weekly/monthly/quarterly audits on site
Knowledge, skills & experience
Previous administration experience
Shows an enthusiastic approach with the ability to use own initiate to solving problems.
Strong organisational skills and ability to handle multiple tasks in a fast-paced environment.
Ability to make decisions in a timely fashion, coupled with the ability to investigate and weigh alternatives while understanding root cause analysis/risk mitigation strategies.
Supply chain/Facilities/Hard services understanding and awareness.
Proficient in Microsoft packages.
Highly organised and can manage several projects at same time.
Flexible, fast thinking and conscientious.
Excellent attention to detail.
