SalaryTo organise and oversee the smooth running of the day-to-day branch administrative functions, in compliance with the RSPCA branch policies. Your line manager will be the trustee who is the Vice Chair.
Main duties
Development Activities (50% of time)
Draft all necessary documents and policies for a new Animal Welfare Officer role.
Take forward the admin support for recruitment of volunteers and branch staff. Keeping all information up to date for current staff and volunteers and support their Induction and any logistics such as required equipment. Potentially manage the Branch Staff .
Build a network of foster carers including recruitment, induction, arranging training and keeping in contact on a regular basis.
Create a network of board establishments who can take in animals if foster care is not available.
Responsible for updating our social media liaising with volunteers/trustees/staff to get appropriate information, including animals for rehoming, events, campaigns and other information to promote animal welfare, the Branch and the RSPCA. Also includes replying to any posts or comments.
Support the lead Trustee and work with the Animal Welfare Officer in the delivery of educational events (for example at schools) and the admin and delivery of Branch Events.
Support the lead Trustee and oversee the plan for fundraising, implement actions, organise events, organise meetings, monitor performance against targets.
Animal Welfare Assistance Activities (30% of time)
Ensure all local policies are kept up to date. This includes our approach to Animal Welfare Assistance which requires us to keep in contact with our local vets and ensure our pricing structure is accurate.
Ensure all Animal Welfare Assistance requests are answered promptly. Liaise with the Animal Welfare Lead for welfare advice and/or the “on-call” Trustee for financial decisions outside delegations.
Administrative Support (20% of time )
Be the first point of contact for all inbound enquiries via telephone calls and emails, dealing with them in a professional, empathetic manner or passing them on to an appropriate person.
Manage branch correspondence, receiving, sorting and distributing emails.
Create and maintain records, databases and filing systems (electronic)
Attend all meetings either virtually or in person, depending on circumstance, to update the Board on Branch Manager activity in month.
Support the chair with the overall maintenance of the Branch and any changes such as incorporating the Board and the Charity and boundary changes or branch mergers
To support the trustees with the recruitment of new trustees.
Comply with data protection/GDPR legislation at all times and maintain and implement the branch personal data retention, schedule-filing, organisation and archiving.
