Elena Whitham, MSP for Carrick, Cumnock and Doon Valley, is looking for an Office Administrator to join her busy and hardworking team.
Location: Local Office in Carrick, Cumnock and Doon Valley constituency
Hours: Part-time; 24 hours per week
Salary: £27,300 FTE

MSPs are employers in their own right. Under their employment, you will become part of a team supporting them in carrying out their duties. You’ll work in a dynamic and fast paced environment to provide an outstanding service for constituents.
This role will be supporting Elena Whitham MSP in her constituency office, with administrative assistance in dealing with enquiries from the public, providing briefings for diary entries and Parliament events and ensuring relevant contacts are up to date.
Other duties will include, but not be limited to, assisting with any MSP events and sourcing information regarding constituency interests, media stories and potential opportunities for campaigns. We are also committed to ongoing training and development and dedicated to pursuing opportunities for growth and progression within the role.
Responsibilities
- Carrying out general office administration and acting as front of office for enquiries.
- Responding to all incoming correspondence while professionally managing each enquiry within agreed timescales.
- Coordinating, tracking and monitoring the handling of enquiries and ensuring they are dealt with timely and professionally.
- Drafting written correspondence such as letters, requests for information and campaign correspondence.
- Keeping up to date with current media developments.
- Keeping your knowledge of policy areas and local issues up to date.
- Preparing and delivering regular briefings and updates.
- Investigating patterns of casework enquiries and producing reports.
- Support MSP constituency campaign work and events.
- Maintaining office records and compliance with data protection.
- Maintaining filing system and managing records.
- Ensuring compliance with data protection legislation and GDPR requirements.
- Ensuring administrative and secretarial support is provided.
About You
Requirements
- Have excellent written, verbal and IT skills with accurate attention to detail.
- Have a flexible and adaptable approach, being able to use good judgement and work on own initiative.
- Be well organised with the ability to prioritise competing workloads.
- Hold a relevant administration qualification i.e., HNC/ECDL, or demonstrable administrative experience in a challenging and dynamic office environment
