Role:-Office Administrator
Location:- Coatbridge / Grangemouth
Salary:- £25,000 - £30,000 Depending upon experience
About the role
As part of our ongoing growth and development we are recruiting for an experienced Office Administrator to Join our team working predominantly from either Coatbridge or Grangemouth with travel to the other site as and when required.
Responsibilities
As an Office Administrator you will be integral to the day to day running of our site operations, from Diary / Room bookings, dealing with visitors, general administration through to general house keeping.
Duties will consist of but aren’t limited to:-
- To act as first point of contact with people from both inside and outside the organisation, Meet and greet general visitors at all levels.
- Screen general telephone calls, enquiries and requests and handle appropriately
- Organise meetings including the co-ordination of diaries, conferencing facilities, hotel bookings and catering
- Plan & organise various events & engagements including open days, conferences and visits.
- Attend meetings to take minutes
- Deal with incoming mail and email and correspond where appropriate. Handle outgoing post and deal with external couriers.
- Act as point of contact for vendors such as office supplies, catering, cleaning, etc
- Prepare various documents, briefing papers, reports and presentations
- Maintaining office systems, including data management, expenses, filing etc
- Arranging travel and accommodation including meeting venues, hotel reservations, transport documentation and event itineraries
The Ideal Candidate will possess or be able to demonstrate:-
- Willingness to undertake varied day to day duties in an office environment
- Previous Office / Reception experience
- Excellent IT skills, including MS software
- Effective communication skills, both written and verbal.
- Good Communication skills
- Own transport as the role requires travel to our other site.
