An exciting opportunity for an Administrator/PA has arisen within the team at Irresistible Vapes to provide high quality support to the Company Director whilst also completing and managing administrative tasks required.
The post will be office based at our Main Retail unit on Medway City Estate.
This is a challenging role which requires someone with excellent organisational skills who is used to dealing with multiple tasks at one time.
Responsibilities
Manage incoming emails, organise and replying as appropriate
Answer and direct phone calls in a polite and professional manner
Maintain office & general supplies. Place orders when necessary
Assist in the preparation of regularly scheduled reports
Coordinate and schedule appointments and meetings for the Company Director
Coordinate and book travel (including flights, hotels, taxis) for the Company Director
Provide administrative support to ensure efficient operation of ongoing projects
Management of invoices to and from the Company
Responsible for booking parcels from the Warehouse for delivery
Manage the Companies automated payments
Working closely with outside companies ensuring regulation for consumer products are completed
To undertake any reasonable task requested
Experience
Knowledge of the Vape industry would be beneficial but is not essential
Proven 3 years experience as an office administrator and PA
Proficient in using computerized systems such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Slides)
Familiarity with Xero
Strong organizational skills with the ability to multi-task and prioritize tasks effectively
Excellent written and verbal communication skills
Attention to detail and problem-solving skills
Project Management experience is preferred
Ability to maintain confidentiality and exercise discretion with sensitive information
