A leading Intellectual Property firm based in the heart of London is currently looking to recruit a Facilities Assistant to provide a professional and high-quality front of house service for the business along with administrative and task support to the office services department.
You must have previous administration/facilities/front of house experience from either a legal or professional services background
Hours - 8.30am - 4.30pm with flexibility required
Salary - Competitive DOE
Duties include:
- Responsible for reception duties
- Pre book visitors, meet and greet clients and other visitors
- Set up client and internal meeting rooms
- Configure room layouts as required operating the movable wall system and rearranging meeting room tables and chairs
- Liaise with the IT department to arrange any relevant equipment required
- Make all necessary arrangements for lunch and refreshment requests
- Sort, scan, save all incoming post with high quality results and attention to detail
- Log certified documents using MS Teams, print letters and locate corresponding documents to attach before sending by courier or a postal service
- Prepare all outgoing courier and Royal Mail post
- Raise maintenance issues on a helpdesk system
- Adjust and check heating and cooling system
- Maintain the First Aid Room and supplies
- Contribute to the staff induction process; take employee photographs, create passes and assist with office tours
- Undertake training and responsibility of deputy Fire Officer
