Job Purpose:
The Office Manager will be responsible for ensuring the smooth running of the office at Stephen Street, maintaining a frontline presence, receiving and greeting visitors.
This role is Part Time based on 25 hours per week, working Monday - Thursday and will need you to be based on site each day. We are flexible around specific working times, however will require Tuesday and Thursday to start at 8am. Please share your availability when you complete the online application form when prompted.
Key Accountabilities:
- To ensure all external and internal visitors /callers receive an excellent first impression of the Company via a guest focussed approach to communication
- To maintain effective security of ODEON space, working with Stephen Streets dedicated front of house team, ensuring the visitors process is followed
- Ensure the Oscars bar / A-space area and meeting rooms are organised and maintained at all times
- Maintain up to date telephone lists for the support office ensuring that accurate information is published via the intranet
- Coordinate post ensuring the distribution of incoming mail and the collection of outgoing mail on a daily basis
- Manage the provision of stationery supplies for Stephen Street ensuring adequate supplies and effective budget control
- Work with the Health & Safety team to ensure we are in line with regulations
- Ensure adequate supplies and smooth running of the colleague kitchens and break out areas
- Liaise with the facilities team / IS teams to ensure the swift resolution of any maintenance / equipment issues
- Complete ad-hoc administrative tasks as requested and support the People Team with the coordination of all internal communications such as the weekly huddle
- Review and document all current office processes making efficiencies and streamlining where possible. Manage the rollout of changes to processes with all stakeholders
- Bring innovation to the way we do things and challenge the status quo to active the right outcomes for our business
Key Skills:
- Previous experience within a receptionist or office co-ordination role would be desirable
- Good PC literacy with strong MS Office skills in particular
- Experience collaborating with internal and external stakeholders at all levels with the ability to adapt your communicate style
- Organised and methodical in your approach to work
- Self-motivated with the ability to work independently
- Flexible in approach and able to work with changing priorities and deal with problems that arise
- Strong problem-solving skills
- Proven customer service skills
- Qualified in First Aid at work or willing to undertake this training
