Job Summary:
As an Office Manager at VMI Studio, your primary responsibility will be to ensure the smooth and efficient operations of our office while also assisting in the handling of financial transactions related to our projects. This position requires a minimum commitment of three days in the office each week.
Key Responsibilities:
- Office Management:
- Maintain a welcoming and professional office environment.
- Oversee office supplies inventory and procurement.
- Manage office equipment and ensure their proper functioning.
- Coordinate the setup and maintenance of workstations for our creative teams.
- Financial Transactions and Support to Head of Finance
- Assist in processing financial transactions related to projects.
- Procurement and oversight of purchasing and expenses.
- Collaborate with the finance team to track and manage project expenses.
- Source and organize project-specific invoices and receipts.
- Assist in the preparation of financial reports for projects.
- Administrative Support:
- Provide administrative support to project managers and creative teams.
- Manage the scheduling of meetings and presentations for real estate clients.
- Coordinate the logistics of client visits and property showcases.
- Supplier and Client Relations:
- Liaise with suppliers and contractors involved in production.
- Assist in maintaining positive client relations by ensuring excellent service.
- Handle inquiries and coordinate with relevant teams for client requests.

Communication and Team Collaboration:
- Act as a central point of contact for project-related communication.
- Collaborate closely with creative teams to ensure seamless project workflows.
- Communicate effectively with real estate clients and partners.
Qualifications:
- Previous experience in office management with exposure to the creative industry is a plus.
- Strong understanding of google suites
- Knowledge of Quickbooks would be a plus.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in using office software and tools.
- Basic knowledge of financial transactions and project-related expenses.
- Attention to detail and accuracy.
