Reporting to the Head of Operations, you'll play a pivotal role in ensuring the smooth operation of the office. Your responsibilities include managing IT infrastructure, overseeing all administration processes, and maintaining a secure and efficient office environment.
Key Responsibilities:
- Take charge of IT infrastructure, collaborating with third-party IT experts for timely issue resolution and policy updates.
- Conduct user awareness training on cybersecurity and ensure compliance with certifications like cyber essentials.
- Streamline Microsoft Business 365 packages and maintain accurate IT inventory.
- Facilitate new employee onboarding, from equipment setup to induction processes.
- Manage HR files and assist in regular stationary/consumable orders.
- Oversee office repairs, maintenance, and contractor relationships.
- Handle the company switchboard, transfer calls, and manage messages efficiently.
- Coordinate and manage meetings, ensuring rooms are clean, well-organized, and equipped.
- Plan and execute internal company events, such as conferences and team days.
- Provide administrative support to the Head of Operations, including calendar management.
- Take a proactive approach to health and safety, acting as the main contact for consultants and ensuring compliance with regulations.
- Conduct weekly fire alarm tests, annual fire drills, and maintain first aid equipment and fire extinguishers.
- Assist with travel requirements for the Project team if needed.
Person Specification:
- Essential: Previous experience in a similar role and communication with external bodies.
- Desirable: Experience in Health and Safety requirements.
- Essential Skills: High numeracy, accuracy, organisation, prioritisation, strong communication skills, initiative, teamwork, flexibility, and proficiency in MS Office applications - outlook, excel & word in particular and a working knowledge of business ERP systems and SAGE accounting.
- Desirable: Relevant business qualification or undergraduate degree in a related discipline.
