Cogent Staffing are seeking a highly organized and detail-oriented individual to join our London based client as an Office Manager providing temporary sick cover. As the Office Manager, you will play a vital role in ensuring the smooth operation of the office and supporting the overall efficiency of the organization. Shift/salary:
- Monday to Friday
- 5 days per week, 40 hours
- 21.25 - 22.75 per hour depending on experience/salary requirement
- Temporary sick cover
- 8 weeks minimum
- In order to be considered for the higher rate a candidate must have over 6 years consistent office management experience, evidenced
Responsibilities:
Office Operations Management:
- Oversee day-to-day office operations and ensure a well-functioning and professional work environment.
- Manage office supplies, equipment, and maintenance, ensuring availability and proper functionality.
- Handle incoming and outgoing mail, emails, and phone calls, and route them to the appropriate staff members.
- Coordinate meetings, appointments, and travel arrangements for senior management as needed.
- Maintain office policies and procedures, and implement improvements when necessary.
- Manage post, couriers and deliveries.
- Order supplies, assist with food orders and maintain general office tidiness/complete meeting room checks.
Administrative Support:
- Provide administrative support to various departments, including document preparation, data entry, and record keeping.
- Assist with organizing and coordinating company events, meetings, and conferences.
- Help maintain employee records, including attendance, leave, and performance evaluations.
- Prepare reports, presentations, and correspondence as required.
- Assist with basic accounting tasks, such as invoicing, expense tracking, and budget monitoring.
Human Resources Assistance:
- Aid in the recruitment and onboarding process, assisting with the creation and issuing of passes/access cards, adding new starters into relevant office groups and issuing information with regards to printing, health & safety, fire etc.
- Assist with employee orientation and ensure all necessary paperwork is completed accurately.
- Maintain employee files and records, ensuring compliance with company policies and legal requirements.
- Support HR initiatives, such as employee engagement activities, performance management, and training coordination.
Requirements:
- Previous experience as an Office Manager or in a similar administrative role.
- Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment.
- Excellent organizational and time management abilities, with strong attention to detail.
- Outstanding communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Strong problem-solving capabilities and a proactive approach to addressing challenges.
- Discretion and confidentiality when handling sensitive information.
- Knowledge of basic HR practices and procedures is a plus.
