Our client, a thriving design and build company located in the heart of London, is expanding, and we're on the lookout for a proactive and detail-oriented Operations Assistant to join our close-knit team. Responsibilities: As an Operations Assistant, you will be involved in a variety of tasks, including:
- Assisting in scheduling, allocation, and communication of work shifts for operational staff.
- Creating and issuing project risk assessments and method statements to clients.
- Preparing and issuing new project site files with relevant project information.
- Coordinating logistics for company plant/tools/equipment and stock deliveries to project sites.
- Creating and maintaining project folders within our shared company drive.
- Setting up new projects within our in-house software package.
- Supervising the operational aspects of the company's vehicle fleet.
- Ensuring staff training records are up-to-date and highlighting any additional needs.
- Presentation and occasional creation of company documentation for clients, suppliers, and colleagues.
- Administering calendars and diaries for the operations team and senior management.
- Managing company insurances and accreditations to ensure compliance.
- Documenting and communicating minutes from meetings.
- Interacting with clients to address inquiries related to ongoing projects.
- Cultivating relationships with supply chain partners, including hire equipment companies, agency labor support outfits, and environmental waste contractors.
What We're Looking For: We are seeking a candidate with the following qualities:
- Excellent communication skills, both written and verbal, when dealing with people at all levels.
- Prior experience in an administrative or operational position, with the ability to adapt to daily changes and project requirements.
- Proficiency in Microsoft Office packages, with the ability to create and present documentation to the highest standards.
- Knowledge or previous experience in inventory management is advantageous.
- Some experience or basic knowledge related to construction company insurances is beneficial.
- Experience, training, and/or qualifications in Health and Safety law and legislation are advantageous but not mandatory.
- Enthusiasm for finding better ways to enhance our business processes and efficiency.
