Robert Half are delighted to be partnering with Phynova, in supporting with the hire of an Operations Coordinator to join the business. This is a permanent role, offering remote working, but ability to be able to travel to the Banbury offices if needed.

Phynova is a British life science company, who are specialised in developing and commercialising unique, science backed health ingredients, powered by plants. By identifying and researching active plant ingredients, Phynova develops the scientific and regulatory frameworks so that these ingredients can be used in global health products. With an international client base, working with businesses such as Nestle and Holland & Barrett, Phynova have doubled their sales over the last 12 months, and are continuing to focus on growth.
The Role
As Operations Coordinator, you will be part of a small and international team. You will take ownership of processes to ensure delivery of customer orders, coordination of products and develop relationships with warehouse and distributors, ensuring a high level of customer service at all times.
The successful applicant will ideally have administration and customer service skills, and demonstrates the ability to manage a varied workload and prioritise tasks whilst maintaining high levels of accuracy.
Responsibilities
- Manage day to day customer orders end to end, ensuring high levels of customer service and prompt delivery
- Liaise with manufacturers to ensure customer orders are received on time and in full, to agreed timelines and product specifications
- Work closely with sales and finance to ensure all relevant information and requests are aligned
- Monitor inventory levels and quality control of stock
- Collaborate with the procurement team to coordinate deliveries and resolve any discrepancies
- Oversee shipping and logistics activities, ensuring the best value for money
- Maintain detailed & accurate customer and sales information through Microsoft Excel
- Ensure excellent communication both internally and externally, fostering effective and positive relationships
Person Specification
- Previous experience in a customer facing administration role
- Highly organised with excellent attention to detail
- Actively seeks out ways to improve processes
- Excellent communication, able to collaborate in internal and external teams.
- Shows active listening skills, able to understand a customer's requirements.
- Works well independently and as part of a team
- Able to work effectively in a remote capacity, managing own work load and day to day activities
