We have a fantastic opportunity for an Operations Executive to join our Cheltenham Operations Team to plan, coordinate and ensure the smooth running of the operations department, always ensuring that robust processes are in place and followed to ensure a safe environment for all team members, contractors and visitors.

The Operations Executive will
• Coordinate administration across compliance, health and safety and licenses.
• Provide administration support to the Regional Health Safety & Security Manager and Regional Head of Operations, including dealing with correspondence, providing telephone support, diary management and to generally ensure their efficient operation.
• Support the Regional Health, Safety and Security Manager in coordinating Health & Safety matters at Cheltenham Racecourse including accident reporting, maintaining Health & Safety records and administration in accordance with The Jockey Club’s procedures and legislation.
• Ensure operations filing is up to date and the correct process for computerised file management is followed ensuring information is accurate and kept securely at all times.
• Process and raise invoices, recharges and purchase orders as appropriate.
• Undertake and co-ordinate the production of papers, presentations and minutes for Health & Safety meetings, key planning meetings and other meetings as required.
• Represent the region on selected race days as required across the Jockey Club group (may include evenings and weekends and occasional pre-race day cover).
• Meet and correspond with clients and contractors and conduct inductions.
• Under the guidance of the Regional Health, Safety and Security Manager maintain and update the Training Matrix records, ensuring compliance of H&S at all times.
• Support the Health, Safety Manager with administration support for key contractors such as security and medical providers.
• Liaise with the Finance Centre, with reference to allocating client payments, handling enquiries, and resolving issues on a regular basis.
• Assist with the management of onsite tenants and company housing.
• Manage specific budget lines, raise purchase orders, check, raise and or approve invoices for payment.
• Provide support on the Accreditation System to ensure that all necessary people are accredited for racedays, to include management of the system on all racedays.
About you
• Experience of administration.
• Exceptionable written and verbal communication.
• Computer literate.
• Experience of budgetary control.
• Racecourse and events operations experience
• Working knowledge of Health and Safety processes
• Experience of working in a team and operating in a fast paced, pressured commercial environment.
• Hold a full UK driving License.
• IOSH Managing Safely Qualification desirable.
