Undertake general office duties as required, including: Word processing, including copy typing and patient letters. Use of predefined Excel Spreadsheets for recording various information Photocopying / Scanning Maintains the departments filing systems, ensuring all files are up to date and available when required. Identifying office stationery requirements To deal with telephone queries, take messages and deal with them in a timely and efficient way, refer as appropriate. Dealing with Patient Appointments To allocate appointments and notify patients accordingly. To book appointment for out-patients, on the Patient Management System. Revising patients appointments when necessary. Dealing with Patient Referrals Registering new referrals on to the Patient Management System. Liaising with other departments and clinical colleagues with referral queries. Ensuring ward referrals are dealt with in a timely manner by registering the referral and informing the Orthotics Coordinator & Orthotist as soon as received by the department. Preparing Daily Clinics Printing the clinic list and patient demographic/notes sheets. Matching assessment referrals to the patient demographic sheet where applicable. Ensuring that goods due to be fitted are available and put into the clinic room. Ensuring that any discrepancies are immediately notified to the Orthotics Coordinator and Orthotist. Rearranging patient appointments where appliances are not available. Despatch Appliances to the relevant Orthotic Contractor Accurately catalogue appliances on the delivery note and Patient Management System. Book collection slot with the Orthotic Contractors chosen courier. Box appliances and ensure the correct destination label is attached. Accurately typing up patient notes on to the Patient Management System. Maintaining patient outcomes on the Patient Management System and sending DNA letters where applicable. Ordering and Booking in Patient Appliances using Patient Management System and Trust Central Purchasing system. Patient Appliance Collections/ Repairs Arranging appointments for patients to collect and drop off appliances. Issuing out appliances to patients at collection appointments, in line with departmental and Trust procedures. Accepting appliances from patients at drop off appointments, in line with departmental and Trust procedures. Ensuring all appliances are accurately labelled so that the Orthotist can identify raise the relevant order. Act as a chaperone in clinic as and when required, in line with departmental and Trust procedures. Providing information to Orthotist as requested. To treat all information as confidential and follow all Trust and Department Information Governance policies and procedures. To organise own day to day work tasks, showing an ability to prioritise to achieve set timescales. To undertake work that has been prioritised by the Orthotics Coordinator. Ensure that all statutory and mandatory training is undertaken and up to date.
