Our client is a global Real Estate/Investment organisation based in the heart of central London. They are looking for an experience PA to join a new team due to expansion. This role will be supporting two Head of departments in one of their new areas of the business.
THE ROLE:
- Extensive diary management & continuous reprioritisation of tasks/meetings, ensuring key stakeholders' daily schedule is manageable, they arrive to meetings on time and are well-prepared (pro-actively collating materials for meetings)
- Arranging and setting up internal/external meetings, room bookings, conference calls & video conference across multiple time zones
- Inbox management
- Booking breakfast/lunch/dinner meetings
- Collating property schedules; printing, binding reports and presentations
- Competently liaising with clients, contractors, agents, landlords and other internal departments
- Competent use of travel booking sites, flights, trains, taxis, hire car, visas etc
- Creating presentation slides (PowerPoint), formatting documents (Word); creating spreadsheets (Excel)
- Compiling information throughout the year for annual CPD recording
- Dealing with ad-hoc personal and private matters
- Proven experience in a support role
- Excellent organisational skills and ability to efficiently multitask
- Maturity and professionalism to deal with incoming client calls
- Accuracy and attention to detail
- Ability to work autonomously with clear understanding of priorities
- Maturity and professionalism to handle client contact (in person/calls/emails) also dealing with colleagues
- Enthusiastic, dependable and willing team player.
