PA to Director - Salford City Council
  • Job Type: Temporary, full-time
  • Contract: Sick cover, minimum 1 month

Salford City Council are currently seeking a highly skilled and proactive Personal Assistant to provide exceptional support to council Directors. The successful candidate will play a crucial role in facilitating the strategic objectives of the Directorate and City Council, ensuring the smooth operation of the office and maintaining the highest levels of confidentiality and sensitivity.

Day to Day of the Role:

  • To filter and direct incoming correspondence via email, post and telephone queries addressed to the assigned Directors where they cannot be resolved at first contact and identifying urgent/sensitive matters.
  • Ensure that all information and enquiries are managed appropriately using diplomacy and due regard for confidentiality and sensitivity.
  • Review agenda items for the meetings which the Directors attend to ensure effective briefing papers are prepared prior to the meeting and that they are electronically filed.
  • You will undertake and produce accuracy word processed documents such as correspondence and reports, minute taking, creating, and maintaining spreadsheets.
  • You will organise conferences, meetings and briefings. This may include arranging catering and tracking of invitees, booking of venue, and arranging appropriate means of travel and suitable accommodation when attending events take minutes, action points, and ensure there is a process in place so that follow up actions arising from the meetings are progressed and recorded.
  • Experience of providing management support to Senior Management of an organisation of similar size/complexity.
  • Ability to deal with all information received and to disseminate it in a confidential and sensitive manner.
  • High-level word-processing skills and proficiency in the use of spreadsheets/databases and presentation methods.
  • Ability to plan and organise work and manage high levels of work-related pressures in dealing with deadlines and conflicting demands.

Required Skills & Qualifications:

  • Experience providing management support to Senior Management in an organisation of similar size/complexity.
  • Excellent written and verbal communication skills.
  • Ability to deal with all information received and disseminate it in a confidential and sensitive manner.
  • High-level word-processing skills and proficiency in the use of spreadsheets/databases and presentation methods.
  • Ability to plan and organise work and manage high levels of work-related pressures in dealing with deadlines and conflicting demands.
  • Strong network-building skills with various stakeholders.
  • Experience in organising events and managing logistics.
  • Professional demeanour and ability to maintain a positive image of the Council.
