Personal Assistant

As a Barclays Personal Assistant, you will be in the Investment Banking COO (IBK COO) that sits within BX and provides Operations and Technology services across the bank, but primarily focusing on the Investment Banking client base sitting within the Investment Bank (IB). In this role, get an opportunity to mainly provide efficient, professional PA and administrative assistance as required to the Chief Operating Officer for Investment Banking.

- Providing PA assistance to the COO for IB and 3 Directors in IBK COO Strategy & Governance team, managing diary, prioritising range of meetings across global time zones
- Leading as the main POC both for IB COO both and as first POC for a wide range of stakeholders, respond/resolve varied queries, channelling to appropriate area if required
- Organising meetings/events at internal and external venues. Liaising with internal and external contacts, visiting, and vetting locations, agreeing dates, menus, and prices
- Arranging complex global travel, liaising with internal and external contacts for all bookings required for visa / passport / itineraries where required as per the travel policy
- Managing monthly expense claims on behalf of the COO, ensuring all expenses are reconciled in an accurate and timely manner with full adherence to the expenses policy
- Maintaining the holiday tracker for the Investment Banking COO Leadership Team (LT)
- Assisting with Business Analyst type activities i.e tracking various data points across IB COO
- Preparing reports e.g. headcount, travel, 3rd party service management activities, Transaction cycles MI
- Excellent PA / Administrative skills and technically proficient with MS Applications (Outlook, Excel, Word and PowerPoint)
- Extremely organised with excellent communication and influencing skills
- Operate within a fast-paced environment with the flexibility to work across a range of issues and ability to cope under pressure, make effective decisions
- Resilient with the capacity to manage complexity and ambiguity; and experience of working with a global team together with an understanding of different cultures
- Technically proficient with Excel
- Existing working knowledge of BX COO
- Experience of assisting an ExCo member
