We are looking for an established Personal Assistant to provide effective and responsive administrative and organisational service to the Chief Executive Officer, assisting in managing and prioritising their time efficiently.
You will collaborate closely with various departments and stakeholders to ensure seamless communication and coordination, coordinating activities, and managing administrative tasks, ultimately enhancing the CEO's productivity and effectiveness.
Responsibilities include;
Business related:
- Diary management including booking appointments, arranging travel and accommodation.
- Ensure the CEO is fully prepared for all meetings and engagements by collating any necessary paperwork.
- Take dictation of emails, letters, and other correspondence.
- Provide a link between the wider business and the CEO.
- Liaise with the Executive Team in connection with on-going projects across the business.
- Take minutes of meetings and circulate to relevant parties.
- Prepare presentations using PowerPoint.
- Filter general information, post, queries, telephone calls and invitations to the CEO by re-directing or taking forward such contact as appropriate.
- Prepare general correspondence including drafting of letters, emails etc., where appropriate.
- Send correspondence on behalf of the CEO.
- Collate and circulate management information.
- Keep and maintain an accurate record of papers and electronic correspondence.
- Receive visitors and arrange appropriate refreshments.
Personal related:
- Managing multiple vehicle MOT, servicing, insurance and tax requirements
- Ensuring council tax, bills, house insurance and meter readings on holiday property
- Ad hoc projects
Person Specification:
- Previous experience in a similar role supporting at C-Suite
- Excellent knowledge of Microsoft Word, Outlook, Excel and PowerPoint.
- Ability to create PowerPoint presentations and spread sheets - work with formulae.
- Ability to stay calm within a busy working environment.
- Excellent communication skills with the ability to work confidently with all levels.
- Ability to work on own initiative.
- High level of confidentiality.
This is a hybrid role inline with business needs, approximately 3 days per week in office 2 from home.
Salary for this role is up to £50,000 DOE plus benefits.
