Job Summary:
Are you an experienced administrator with a passion for providing high-quality support? Brook Street Ltd are pleased to announce a readily available PA position at NHS St Peter's Hospital and occasionally Ashford's Hospital. This role is full-time, Monday-Friday, temporary with the possibility of extension. We are seeking a dedicated Personal Assistant to join the Maternity Services team. In this role, you will provide confidential and professional administrative support to the Head of Midwifery and the Maternity Senior Leadership Team. Your responsibilities will include diary management, document preparation, meeting support, and project coordination. You will play a vital role in ensuring the efficient operation of the maternity services and contribute to the delivery of strategic projects within the department. Please note: This tole is subject to 5 years references check and an Enhanced DBS.
Key Responsibilities:
- Act as a PA to the Director and Head of Midwifery, providing comprehensive administrative support including diary management, correspondence management, and call handling.
- Support recruitment activities within Maternity, including vacancy panel processes and documentation preparation.
- Organise and manage meetings, including agenda setting, document circulation, minute-taking, and follow-up on action items.
- Design and manage the administration of special projects as required by the Director of Midwifery.
- Coordinate internal and external events as needed.
- Develop and maintain databases and action trackers to support departmental functioning.
- Provide general administrative support to the Director of Midwifery and Senior Leadership Team.
- Maintain departmental records and supplies, including stationery and equipment ordering.
- Report and escalate facility issues to the appropriate channels.
- Undertake any other duties as required by the Maternity Service.
Key Requirements:
- Secretarial training qualification (e.g., RSA, BTEC) and/or NVQ Level 4 in Administration.
- Significant administrative experience, preferably within the NHS.
- Proficiency in Microsoft Office suite and ability to learn new software quickly.
- Excellent communication skills, both verbal and written.
- Ability to handle confidential information with discretion and professionalism.
- Strong organisational skills and attention to detail.
- Flexibility to adapt to changing priorities and work under pressure.
