Job description

I am recruiting for a PA to the Director of a leading government department based in the L20 postcode of Liverpool with hybrid working in place.

The team you will be working in (Policy and Communications Directorate) provides insight, strategic advice and influence to shape, protect and enhance the organisations reputation and ensure they have a fit for purpose regulatory policy framework and as an efficient and effective regulator.

Your duties will be varied and include:

  • Governance Support: Assist the Director in managing the Directorate through the Directorate Management Team, including setting agendas and overseeing actions.
  • Milestone Plan Management: Monitor progress, meet internal reporting deadlines, and secure Change Controls for the Directorate's Milestone Plan.
  • KPI Reporting and Dashboard Creation: Collaborate with the P&C Directorate Business Manager to produce monthly KPI reports and develop a new 'Dashboard' for reporting.
  • Meeting Coordination: Facilitate monthly P&C Directorate meetings by setting agendas and organising twice-yearly Directorate away days.
  • Budget Oversight: Work with the Business Manager to manage the Directorate's budget, ensuring accurate financial reporting and advising on key issues.
  • Corporate Tasks and Risk Register: Assist the Director with corporate tasks, including updating the Strategic Risk Register and contributing to the CEO Report.
  • Secretariat Support: Provide effective secretariat services for the Engagement and Insight Group and other Directorate meetings, ensuring timely preparation of materials and follow-up on action points.
  • Forward Planning and Quality Assurance: Maintain an aligned forward plan across the organisation and ensure papers meet corporate standards.
  • Annual Effectiveness Reviews: Conduct reviews of Directorate meetings and implement necessary changes in line with executive governance requirements.
  • Task Management: Ensure timely and accurate delivery of regulatory, support, and business requirements for the Director. Prioritise urgent work and delegate appropriately.
  • Communication and Stakeholder Liaison: Monitor the Director's communications, engage with internal and external stakeholders, and understand the impact of their work on stakeholders.
  • Calendar and Travel Management: Efficiently manage calendars, travel arrangements, and work commitments to optimise individual time and meet the business needs.
  • File Oversight: Maintain records of key files, owners, and contents within the Directorate. Monitor compliance with naming conventions.

To be successful in this role you will have the below skills and experience:

  • Must have experience of providing dedicated administrative support to senior personnel at director level
  • Good IT skills
  • Strong organisational skills, capable of managing multiple priorities with the resilience to flex in order to meet the business needs delivering outcomes to time and quality requirements
  • Proven experience of building strong networks and working with a wide range of stakeholders both internally and externally
  • Excellent written and verbal communication skills as you will be communicating with different audiences across the organisation
  • Proven experience of keeping up to date with emerging issues identifying areas that have an impact on the organisation, escalating these accordingly
