The role
An exciting and fulfilling opportunity for an experienced, organised and discreet PA to support and assist both the Head of international Finance and Director of Tax and Partnership Services.
This role provides high-level secretarial and administrative support to the Finance Leaders, as well as supporting the wider finance team as and where needed, ensuring day-to-day tasks are well managed; enabling the Finance Leaders to focus and drive strategic and operational matters, accelerating the progress of the business forward.
This PA role is a 12 month fixed terms contract covering maternity leave.
MAIN DUTIES AND RESPONSIBILITIES
- Active monitoring and managing of the two inboxes, flagging urgent items and maintaining a list of actions, filtering priority and relevant emails, attending to low priority queries and/or queries that do not need to trouble the Finance Leaders, deleting irrelevant email traffic.
- Proactively manage the individual diaries, scheduling various meetings and assessing the priority of appointments – both internal and external, confidential and non-confidential and cross-jurisdictional
- Organise and book complex travel arrangements
- Check and confirm expenses and invoices within Concur on their behalf; flagging any out of scope approvals to their attention. In addition, processing confidential invoices and expenses within Concur
- Create and file expenses on Concur on their behalf
- Deal with highly sensitive and confidential matters in a discreet and professional manner, aligning to the Firm’s data privacy policies
- Attendance on calls/in meetings where minute taking is required
- Prepare information and documentation for meetings and events, including agendas, itineraries and slides
- Assist the Finance Leaders and the wider finance team with administrative tasks including the preparation of presentations, word documents and spreadsheets
- Day-to-day administrative secretarial / PA tasks
ABOUT YOU
- Experience of working as a Personal Assistant in an international environment, supporting at a senior management level preferrable within finance
- Strong organisation and administrative experience, with evidence of working with sensitive information and maintaining confidentiality
- Experience taking committee meeting minutes
- Driven, hardworking and diligent with a passion for what they do
- Excellent attention to detail and with a focus on maintaining high levels of accuracy
- Flexibility with working practices in line with the business needs, especially in times of pressure/high workload
- Proficiency in using the full suite of MS Office, in particular being conversant with PowerPoint and Excel
- A self- starter with a flexible, proactive and pre-emptive approach to work
- Excellent written and verbal communicator
