An exciting opportunity has become available with our prestigious client who is a prominent government department. The client is seeking an experienced Programme Office Support to join their welcoming team.
The Programme Office Support Role:
Enable the smooth running of the project by supporting Project Managers through the operation of project management processes. Co-ordinate business management actions and activities on their behalf. Ensure systems are in place to enable effective planning and scheduling. Manage project controls, reporting on the project status. Ensure organisational tasks are carried out efficiently. Govern compliance of the project, taking a specific lead on Risks, Issues, Assumptions and Dependency management and assurance reporting. Manage workforce planning, providing information for effective decision making. Engage with a wide range of stakeholders. Monitor project spend and contribute to the compilation of budgets. Lead potential risk areas, working with the Risk Manager and escalating as appropriate.
- RAIDO Management
Support IMAGE sub-programmes and delivery teams by providing SME advice across the programme. Support in identifying new risks, managing risks and improving risks. Evaluating risk quality and inputting risks into ARM (where required). Identification of dependencies (in/out) and support to upload them to the appropriate tool.
- Planning & Scheduling
Ensure that Risk mitigation actions and Dependencies are captured within Schedules where required. Support delivery teams in making regular updates to PoL including R2G plans, improving compliance. Review and assure planning artefacts. Support the creation and development of planning artefacts, identifying, and questioning areas for concern. Maintain schedules and support the Baseline/Re-Baseline process where required. Validate resource loading within schedules and embed improvements with PMs. Ensure milestones are tagged correctly according to ISSP 207. Assist PMs by reviewing the deliverability of supplier schedules (task duration & logic). Dependency milestones are linked between schedules within PoL .
- Agile
Support the development of Agile EPICs and Roadmaps within the Agility tool. Be a POC to support teams with the Agility tool.
- Reporting & Governance
Assuring MI data within Power BI is accurate and honest ahead of monthly reporting points. Brief data during reporting meetings where required. Support PMs in escalating risks to 2* BPR. Review and distribute monthly DD PT Risk Health check data and provide support to delivery teams in resolving issues. Lead the 3* Key Achievements activity, ensuring accuracy of data and report during meetings.
- Knowledge Sharing
Provide SME advice to upskill delivery teams. Hold "How to" workshops to provide best practice processes to teams. Embedding change directed by DD PT into delivery teams. Support new starters and apprentices in developing their understanding of project management and controls best practices. Input into central SPMO team to provide updates.
- Professionalism and Improvement
Reduce the number of non-compliant risks within IMAGE. Provide Training and Induction support for new starters. Contribute to the monthly PC Forum meeting. Attend PI Planning and retrospective events. Attend Working Groups to keep up to date with standards and best practices.
The Programme Office Support Will Need:
- Strong previous experience in a similar role
- Experience of RAIDO – risk and dependency management
- Schedule and planning management
- Experience working within a government department
